Description

The National Airspace Systems Integration Support (NISC) program at Leidos is looking for mid-level Project Administrative Assistant to support the Federal Aviation Administrations (FAA) Program Office through the courier program for the FAA's Foreign Travel Team.

In this position, you will interface with different government agencies and embassies. Strong communication skills and a customer-centric focus are a major part of this role.

The Federal Aviation Administration (FAA) prioritizes advancing safety of the nation's aviation system. In pursuant of the mission, the FAA maintains a global presence through international travel and oversees duty stations, conducting mission-critical initiatives such as global aviation system modernization and ensuring worldwide airspace safety for the American flying public. The Office of Policy, International Affairs, and Environment (APL) Foreign Travel Team processes Foreign Travel Request (FTR) packages for the entire agency before the FTRs are routed to the Administrator (AOA) for final approval.

Primary Responsibilities:

The selected candidate will provide mid-level administrative support not only using established rules, policies, and procedures to carry out all administrative and/or non-technical functions but use of communication and analytical skills to properly assess and execute various confidential tasks. The candidate will interface with FAA and other Federal Government employees extensively. The candidate must keep all information and records related to this effort private and confidential, as appropriate.

To meet the Program Management objectives, the candidate will provide the following outputs:

• Execute all task order activities in compliance with FAA and APL policies, orders, and guidelines.

• Prepare monthly activity reports and weekly work logs that highlight the major work completed under the task order, activity status, financial condition, schedules, risks and mitigation strategies, and planned activities in conjunction with your manager.

• Ensure assigned work products are completed timely, accurately, and within the scope of the task order and NISC.

• Ensure compliance with the 5 U.S.C. 552a Privacy Act (Code of Fair Information Practices).

• Comply and remain abreast of key travel policies including, but not limited to, DOT Order 1240.6 International Travel Approval Policy, FAA International Travel Policy, FAA Travel Approval Policy, and the Department of State's International Travel site for most current travel advisories for official and diplomatic passport holders.

• Provide logistical coordination for visa requests with the appropriate foreign embassy as well as official passport requests with the Department of State Passport Office utilizing a government furnished vehicle.

• Utilize a government furnished vehicle to coordinate (i.e., drop off and pick up) FAA employee visa requests with the appropriate foreign embassy.

• Coordinate official passport requests with the Department of State Passport Office.

• Receive and proof-read official passport and visa applications for official travel for accuracy and completeness.

• Take official passport photos and assemble and track visa and passport applications through fulfilment.

• Prepare official memos for passport and visas to the Special Issuance Agent at the Department of State.

• Provide guidance to FAA employees on embassy changes to visa applications for different countries. Serve as a resource to FAA employees providing guidance on embassy changes or special visa requirements for various countries as well as general applications procedures.

• Prepare official memos for passport and visas to the Special Issuance Agent at the Department of State.

• Maintain an accurate log of all official actions completed and submitted monthly to the APL Travel Team.

Basic Qualifications:

  • The position requires a BA degree and 4+ years of prior relevant experience or Masters with 2+ years of relevant experience. Additional relevant experience could be considered in lieu of education.
  • Ability to obtain and maintain a Public Trust Security Clearance.
  • Strong written communication skills including drafting official documents, proofing, developing clear and concise monthly reports.
  • Ability to maintain private & confident information and records related to the FAA Passport and Visa Program Support effort.
  • Strong attention to detail
  • Currently possess and able to maintain a valid driver's license issued within the United States including the District of Columbia. Have and maintain and clean driving record.

Desired Qualifications:

  • Prior experience supporting the FAA and other Federal Government Agencies is highly desired.

Targeted salary will be $70,000 -$80,00.00, based on experience.

Pay Range:

Pay Range $50,700.00 - $91,650.00

The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
