The Role

We are looking for a highly organized, adaptable, and proactive Sales Administrator & Sales Operations Specialist to support the sales team and assist in daily operations. Reporting to the Sales Operations Leader, this role focuses on supporting processes, managing administrative tasks, and helping optimize sales operations-not leading the team but ensuring its smooth function.

This role will require US time zone working hours.

The ideal candidate will be comfortable handling a variety of tasks throughout the day, including order processing, CRM updates, sales data reporting, and general operational support. If you enjoy being the go-to person for problem-solving, assisting with sales processes, and keeping things running behind the scenes, this role is for you!

Your Responsibilities:

Sales Administration & Team Support:

  • Assist the Sales Operations Leader in managing sales processes and administrative workflows.


  • Process sales orders, invoices, contracts, and other documentation accurately.


  • Maintain and update CRM systems (e.g., Salesforce, HubSpot) with customer and sales data.


  • Support sales reps with customer communication, follow-ups, and account updates.


  • Coordinate with finance, logistics, and operations teams to ensure smooth order fulfillment and issue resolution.


  • Keep sales documentation organized, including pricing agreements, NDAs, and purchase orders.

Sales Operations & Process Assistance:

  • Help track and analyze sales performance metrics, assisting the Sales Operations Leader in reporting.


  • Assist in sales forecasting, pipeline management, and commission tracking.


  • Identify minor inefficiencies in workflows and suggest improvements to the Sales Operations Leader.


  • Support new hire onboarding and training by managing system access and documentation.


  • Provide administrative support for sales meetings, presentations, and data requests.

Customer & Vendor Communication:

  • Act as a support contact for customer inquiries regarding orders, pricing, and general issues.


  • Work with internal teams to troubleshoot and escalate customer problems as needed.


  • Help manage vendor relationships for sales-related tools and software, under the direction of the Sales Operations Leader.

Miscellaneous & Ad-Hoc Tasks:

  • Be ready to assist with various random requests throughout the day, from data clean-ups to last-minute reporting needs.


  • Support scheduling, document preparation, and general administrative tasks for the sales operations team.


  • Assist with last-minute projects, urgent tasks, and other requests as needed by the Sales Operations Leader.

Who You Are

Your Skills & Qualifications:

  • Experience in sales administration, sales operations, or a similar support role.


  • Proficiency in CRM systems (e.g., Salesforce, HubSpot) and Excel (pivot tables, VLOOKUPs, basic reporting).


  • Strong organizational skills with the ability to support multiple priorities and adapt to shifting tasks.


  • A collaborative mindset, comfortable taking direction and assisting the Sales Operations Leader.


  • Strong attention to detail, problem-solving skills, and a proactive approach to tasks.


  • A "can-do" attitude with the ability to handle a variety of administrative and operational support duties.
