Job Summary
Kairos Power is looking for a Facilities Management Specialist to own and lead facilities improvement projects, own facilities contracts that support the facility, and perform a variety of duties and responsibilities at the Kairos Power headquarters site in Alameda, CA. The ideal candidate has excellent customer service skills; is eager to contribute to office, lab, R&D, and manufacturing facility management; has experience managing multiple vendor contracts and vendor relationships; and demonstrated experience/proficiency with the management of building operations. You will work cross functionally with other internal departments to support on-site operational needs, including interfacing with and supporting Material Handling, EHS, IT, and office administration activities in support of Kairos Power's mission.

Responsibilities
- Manage facilities improvement projects to enable testing requirements for Kairos Power engineering teams or support improved building efficiency
- Manage repair and maintenance projects to support the building’s preventive maintenance programs for building infrastructure and critical shared equipment
- Understand and utilize the Building Management System (BMS) HVAC controls to adjust temperature, identify and understand equipment problems, and manage unscheduled repair work
- Manage workorders and scheduling of work in the Computerized Maintenance Management System (CMMS) including the uploading and tracking of documentation
- Partner with the facilities manager to track facilities project costs, invoicing, and project closeout
- Understand and use formal and informal service request systems, including CMMS, spreadsheet software, and maintenance folders; work closely with the Facility Manager to track service requests to completion in a timely manner
- Oversee contractors working on site; follow internal company visitor policies and Covid-19 protocols for visitors, provide contractors with information to orient them to the site, fill out internal work permit procedures, and monitor work progress
- Work with contractors/consultants/on-site personnel to coordinate proper permitting for facilities project work on site
- Maintain effective working relationships and coordinate efforts closely with other departments, including Environment, Health, and Safety (EHS), Information Technology (IT), Supply Chain & Procurement (SC&P), and Accounting to complete projects
- Assist with planning, managing, and communicating shutdown maintenance and construction work – sometimes during early morning, after-hours, or weekends
- Develop scopes of work and request proposals from vendors for all trades involved in facilities maintenance, especially Mechanical, Electrical, & Plumbing
- Evaluate contractor performance to ensure Kairos Power is receiving sufficient quality and performance through the duration of facilities contracts
- Support and assist with space planning and developing requirements and project scopes to manage the various operations at the Company’s Alameda headquarters site
- Assist with the administration of the site access control program
- Provide on-call support for facilities emergencies or required repairs (will require occasional weekend or after-hours support)
Qualifications
- 5+ Years of experience in maintenance operations, project management, or facilities management with scope including HVAC/mechanical, plumbing, and electrical disciplines
- Associate or Bachelor’s degree in Business, Construction, Mechanical Engineering or related field is preferred, but not required
- Experience with the completion of hands on troubleshooting and/or repair of HVAC, plumbing, or electrical systems is strongly desired
- Facilities management experience in a critical environment (Wet lab, R&D, hospital, semiconductor manufacturing, and/or manufacturing environment) is preferred
- Experience with card access control software and hardware (Genetec Security Center). If no experience, a desire to learn and become proficient with this system is required
- Experience with building automation software and hardware (Preferably Automated Logic WebCtrl software with BACNet controllers and devices). If no experience, a desire to learn and become proficient with this system is required
- Requires strong project management fundamentals including proper scoping, scheduling, and budgeting principles for effective management of consultants and contractors
- Requires strong verbal and written communication skills and effective organizational and problem-solving skills
- Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities
- Must be familiar with safety lockout-tagout (LOTO) procedures
- Experience reading and understanding construction drawings and specifications is highly desired, but not required. A willingness to learn and become proficient is required.
- Computer proficiency with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint. Microsoft Project and Visio experience is preferred
- Maintaining a standard personal Class C driver’s license in the State of California for occasional business-related driving in the Bay Area is desired, but not required
- Ability to work with highly collaborative team

The hourly range for this position is $45 to $52 for employees working onsite at our Alameda, CA headquarters. The range provided in this job posting represents the typical range or starting rate of candidates hired in California.
