As an Executive Administrative Assistant in Digital & Platform Services Strategy, you will be responsible for a variety of administrative tasks and functions in support of a group of Strategy Executives in Corporate & Investment Bank, Digital & Platform Services. You must have strong organizational and time management skills, and polished communication skills. You will need to demonstrate a high level of professionalism and deliver flawless work output. Your daily routine will also include interaction with various executive-level internal clients across various lines of business. You will need to exercise discretion and good judgment in a variety of situations, and adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Job responsibilities:
- Maintain fluid and complex calendars, including scheduling meetings and conference calls with senior-level internal and external stakeholders, coordinating room reservations, audio-visual set-up, and catering arrangements as necessary, and preparing documents for meetings.
- Exercise good judgment and tone when managing requests and inquiries.
- Screen incoming calls and determine the level of priority, while using caution in dispensing information.
- Arrange and coordinate domestic and international travel.
- Process invoices and expenses, ensuring that company policies are followed, and items are processed within provided guidelines.
- Produce high quality emails and messages to individuals at all levels of the organization.
- Maintain department documents, including organizational charts and Executive Bio's.
- Handle regular activities without prompting and advise in advance with issues or delays.
- Work in positive partnership with the administrative assistants team, to back up each other and collaborate on joint initiatives.
Required qualifications, capabilities, and skills
- At least five years of administrative experience
- Proven experience supporting multiple people
- Advanced ability to organize and manage multiple tasks simultaneously, can decipher priorities, and handle high-pressure situations with a calm demeanor
- Excellent communicator - able to interact with people of all levels in a confident, professional manner
- Strong attention to detail and highly accurate
- Motivated by a collaborative environment and willing to go the extra mile
- Partner collaboratively with the assistants team, in positive partnership to support each other smoothly
- Flexible hours as dictated by the needs of the business
- Strong proficiency in Microsoft Office
Preferred qualifications, capabilities, and skills
- Experience supporting at the Managing Director level (or equivalent) or above
Note: This role requires five days in the office (Monday-Friday) and will not support hybrid options.
