Per our J&J Flex Policy, the expectation for this position is to work in the identified office a minimum of 3 days per week and work from home 1-2 days per week.

The Sr. Executive Assistant provides executive level administrative support to the Chief Quality Officer (CQO) who reports to a member of the Executive Committee. The position requires independent analysis of administrative responsibilities, basing best course of action while prioritizing demands in a dynamic and fast paced environment. The successful candidate must be able to maintain performance standards to cascade with goals and objectives of company-wide leadership standards. The successful individual must exercise sound judgement and discretion, independently assess, and resolve situations/problems and possess the flexibility to respond to shifting priorities.

This position requires interaction with executive senior management within and external to J&J.

Key Responsibilities:

• Act as a role model for professionalism, courtesy, and excellent interpersonal communication on behalf of the CQO.

• Provide comprehensive and proactive administrative support to the CQO to enable effective prioritization and maintain consistent internal and external engagement.

• Builds and maintains a complex and highly fluid calendar coordination working closely with global cross functional business partners, with a keen and proactive sense of prioritization and time management to ensure maximum effectiveness and efficiency of time use by the CQO.

• Exhibits exceptional organizational skills with keen attention to detail.

• Lead and manage complex travel arrangements/itineraries, including but not limited to: domestic and international travel for internal (J&J) and external (business-partner-facing) meetings, processing of Visa/Passport requirements, global meeting and conference registrations and travel details, and providing active support in case of unforeseen travel disruption, including coordinating travel plans with business partners to maximize the use of company resources and time.

• Prepare expense reports, most of which are incurred while on global travel and require consideration of and compliance with healthcare compliance requirements, in a detail-oriented, timely and compliant manner.

• Supports drafting and publication of communications on behalf of the CQO, making ad-hoc delegation decisions on communications and implementing them.

• Closely partner with colleagues across all levels in the organization to organize meetings, ranging in attendee size and subject matter - from 1:1s to global town halls, and provide necessary logistical support including technology, meals, room setup, and day of meeting point of contact support.

• Supports the coordination of Leadership Team meetings and other staff and leadership activities for the CQO; coordinates materials as needed.

• Consistently performs admin duties such as PO creation and submission, troubleshooting workplace facility/technology issues, organizational chart and distribution management, and ad hoc team management transactions in Workday.

• Proactively partner with QCLT Sr. Administrative Assistant team

• Demonstrate proficiency working with the range of technologies required to execute the duties of this role and a proactive interest to quickly learn new technologies and features as needed.

• Maintains professionalism, strict confidentiality and discretion at all times while exercising independent judgment to solve complex problems, often under minimal direction or supervision.

• Maintain strong working relationships with all stakeholders, including global Q&C partners and cross functional administrative assistants, creating an efficient and effective teamwork atmosphere and supporting team connectivity and collaboration across a globally dispersed team.

• Role may require occasional local travel to other J&J sites or offsite locations in support of meetings (< 10%).

Qualifications

Required:

• A minimum of a High School diploma is required; Associate's or Bachelor's degree strongly preferred.

• A minimum of 8 years of Sr. Administrative Assistant or related experience.

• Experience interfacing with diverse people and situations while supporting executives and their teams.

• Experience in making complex international and domestic travel arrangements, coordinating onsite and offsite meetings across multiple time zones, and managing complex calendars via Outlook.

• Excellent verbal and written communication skills, including the ability to draft and edit correspondence and prepare information for executive review.

• Exemplary customer service skills, ability to handle multiple tasks and priorities simultaneously, and the ability to anticipate executive needs while working independently with minimal supervision.

• Ability to maintain confidentiality, operate with poise and professionalism, and respond with urgency in a rapidly changing environment.

• Exceptional interpersonal skills and a high degree of emotional intelligence in interactions with senior/executive leaders and employees at all organizational levels.

• Excellent judgment with the ability to anticipate and solve problems proactively; detail-oriented, thorough, accurate, and well-organized.

• Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Outlook), virtual meeting platforms (Zoom, Teams), and systems required for executing purchase order and HR processes (e.g., Workday, Ariba/eMarketplace, IRIS).

Preferred:

• Strong proficiency in current J&J technology platforms, including Office 365 (OneDrive, Teams, SharePoint), Concur Travel & Expense, AskGS, and ARAVO.

The anticipated base pay range for this position is $72,450 to $115,920.

This position is overtime eligible.

  • Vacation - up to 120 hours per calendar year
  • Sick time - up to 40 hours per calendar year; for employees who reside in the State of Washington - up to 56 hours per calendar year
  • Holiday pay, including Floating Holidays - up to 13 days per calendar year
  • Work, Personal and Family Time - up to 40 hours per calendar year
