Compensation

The anticipated base pay compensation range for this position is $50,700.00 to $63,400.00.

The range provided is not a guarantee of compensation. The range reflects the potential base pay for this role at the time of this posting based on the job grade for this position. Individual base pay compensation will depend, in part, on factors such as geographic work location and relevant experience and skills. The anticipated compensation range described above is subject to change and the compensation ultimately paid may be higher or lower than the range described above.

Position Details:

The Facility Services Program Administrator is responsible for many aspects of service management (program implementation, corporate policy, contract compliance, service delivery, troubleshooting, communication, and business partner satisfaction) related to the facility services programs within the services portfolio (i.e. HVAC, Pest Control, Janitorial, Dock & Door maintenance, etc.) This role will be the primary or secondary point of contact (depending on the situation) for both internal business partners and service providers. They are responsible for tracking and assuring completion of all preventative maintenance, and business partner satisfaction, as well as internal review of all national vendor invoicing, and vendor contract compliance for all services within the services portfolio. They are responsible for assisting with the creation of KPIs, SLAs, ensuring proper management through vendor drumbeat meetings, quarterly/semi-annual/annual business reviews, program performance reports, and financial information for budgetary purposes, within the facility services portfolio.

You will:

  • Primary point of contact for communication within assigned service program categories, responsible for managing the relationship with service providers and internal business partners.
  • • Assist in the management of all aspects of the program, from administration, new user implementation, and ensuring compliance with contracted terms and pricing.
  • • Assist in managing supplier relationships specific to the program(s) and conduct regular business reviews with suppliers.
  • • Coordinate planned, preventive and unplanned maintenance and break-fix work projects.
  • • Monitor service requests, ensure that information, escalation, issue resolution, and business partner satisfaction as it relates to services, maintenance, and work projects.
  • • Facilitates the timely and accurate completion of activities related to bill payment including cost verification input and on-time billing confirmation.
  • • Audit supplier performance and work/project financial audits; Supports budget/forecast preparation by compiling and analyzing data into monthly and quarterly financial reports.
  • • Track business partner satisfaction through surveys and regular reporting. Coordinate, establish and improve policies as needed
  • • Assist in training business partners on service programs and procedures.
  • • Develops processes and maintains accurate historical information, responds to, and develops data responses. (This data has a direct impact on the financial and business case analysis of current and future project development.)

You Have:

  • • Ability to manage multiple internal customer requests, projects, and timetables in support of key business initiatives; able to prioritize with guidance.
  • • Demonstrated ability to multitask, quickly learn and become competent in, and effectively apply new skills.
  • • Ability to read specifications, contracts, and scopes of work.
  • • Familiarity with Property Management, Facility Services, Real Estate and Construction, Program Management terminology, contracts, and practices.
  • • Must demonstrate a respect for confidentiality, broad business knowledge & organizational awareness.
  • • Effective verbal and written communication skills; Communications are grammatically correct, error-free, appropriately targeted, technically accurate, and effective.
  • • Strong analytical skills to identify and assess opportunities for process improvement
  • • Ability to conduct and facilitate meetings, presentations • Proactive problem solver with a continuous improvement focus/mindset
  • • Strong technology aptitude with proficiency in Word, Excel, PowerPoint, Outlook, Tririga, SAP- SRM & Reporting, SharePoint.
  • • Requires less than 5% travel.
