The IPS (Indirect Procurement Specialist) at Grid Solutions plays a critical role in ensuring efficient, compliant, and cost-effective procurement of goods and services across the organization. This position is responsible for managing indirect Purchase Orders in SAP, maintaining supplier relationships, and supporting the seamless procurement of materials and services necessary to maintain business operations and infrastructure. Acting as a key liaison, the IPS collaborates with internal stakeholders and suppliers to ensure timely delivery, quality standards, and cost optimization.
The position involves managing supplier relationships, negotiating contracts, and driving continuous improvement initiatives to enhance procurement practices. Additionally, the role includes strategic planning, reviewing supplier agreements, and ensuring compliance with organizational policies and operational requirements. The ideal candidate will demonstrate a proactive, solution-oriented mindset and strong interpersonal skills, ensuring seamless support for GE Grid Solutions operational and business infrastructure.
Key missions:
- Owing the Indirect Procurement Process, Process continuous Improvement and development within Projects Procurement & Logistics department.
- As a key Team Member, the IPS is the interface between the Indirect Procurement, Indirect Sourcing Management, Operations, Suppliers as well as relevant internal and external costs center and project stakeholders.
- Creation and management of purchase orders in the SAP system, ensuring accurate tracking of progress until goods/services are received, GRN are booked, and invoices are processed.
- Analyze and review the Purchase requisitions, carefully checking the contracts, budgets and service requirements for accuracy and compliance.
- Active support of the departments for organizational tasks as well as effectively support of purchasing materials and services of the sites (including CAPEX) to maintain the smooth operations of the sites.
- Monitor and track order updates, ensuring the timely delivery of goods and receipt of services, while coordinating any necessary adjustments to delivery schedules, inbound logistics, and invoice processing.
- Liaising cross-functionally with a diverse internal team and partners - e.g.: operations, Sourcing, HR, IT, Accounts, Project, Engineering, Logistics, Controlling and Tender.
- Identify and choose Supplier as per the reliability, performance, and experience. Negotiate with the supplier as per the Quotation and Purchase Requisition requirements.
- Maintain, and evaluate relationships with vendors to ensure quality, cost-effectiveness, and timely delivery of the goods and services.
- Negotiate contracts and agreements together with Indirect Sourcing Lead to achieve the best terms. Review and Conduct Supplier performance and drive continuous improvement initiatives.
- Support and set the strategies, plans, and guidelines with Indirect Sourcing Lead for optimization of the indirect Sourcing and Procurement processes. Preparation of framework agreements together for Business sites.
- Preparation of enquiries based on the requirements of the stakeholders. Cooperate and coordinate with the Indirect Sourcing Leader Germany if the order value exceeds $25,000.
- Prepare and execute annual procurement plans for the company's memberships and services partners, ensuring compliance with the terms and significance of each membership.
- Oversee the management of leasing cars, supporting admin team in ensuring all vehicles follow set standards. Responsible for the smooth execution of the handover protocol of the pool vehicles.
- Expand knowledge of theories, practices, and procedures in own discipline to implement functional policies/strategies; develop functional knowledge and skills to optimize the Indirect processes.
- Identification of process improvement opportunities, and promoting procurement best practice in a complex, fast-moving operation.
- Demonstrate a solution-oriented mindset with a sense of urgency, quickly addressing critical tasks and brainstorming optimal resolutions for various challenges.
- Maintain a proactive approach to identify and resolve potential bottlenecks and backlogs, effectively handling ad-hoc tasks as they arise.
Desired Profile & Experience
- Solid experience in Procurement/Sourcing & Supply Chain Management.
- Master's degree/bachelor's degree in engineering, Supply chain or Business Administration from an accredited university.
- Good knowledge of purchasing standards, policies, procedures, and Sourcing management philosophy.
- Proficiency in SAP and Microsoft Office Suite.
- Excellent communication and interpersonal skills to engage with suppliers and internal stakeholders.
- Decision making, problem solving, results orientated and proactive mindset.
- Ability to work efficiently in cross-functional teams.
- Team player mindset, teamwork capability & can-do attitude.
- Ability to work under pressure and prioritize tasks, milestones, and deliverables.
- Business Fluent English and German language (at least B2 Level).
