Description

This role is categorized as hybrid. This means the successful candidate is expected to report to the Oshawa Elevation Centre, three times per week, at minimum.

The Financial Operations team works to support our marketing team via all aspects of the budget development, application and spend, reconciliation among a considerable number of individual stakeholders that all fall under our shared services. Our tasks support the execution of all business plans and the financial processes connected to them. Successful business planning will improve product sales and market share through improved brand loyalty and brand perception. The Financial Operation team works to support the larger organizational goals down to the team level ensuring compliance and efficiency of all financial processes.

Primary Responsibility

  • Support the Financial Operations Manager, National Manger and overall VSSM team with all aspects of the Consumer Influence budget processes (monthly & yearly) (CIB) from a marketing standpoint
  • Act as a key point of contact for the Financial Operations team with respect to day-to-day financial tasks, month end activities, account reconciliation, year-end + new year preparations
  • Month end tasks including but not limited to reconciling and balancing accounts, preparing, reviewing, and posting journal vouchers
  • Understanding existing accounting structure and its Brand and Corporate complexities

    • Prepping & parking of month end journal entries/vouchers - repeating and special entries (monthly and yearly)
    • Cross charges and other complex entries
  • Financial modeling/solution development and implementation to maximize marketing budget utilization within accounting rules
  • Ad hoc analysis of various parts of the business, audits, vendor and budget queries

Budget Operations & Accounting

  • Monitoring budget reports from Access database for analysis and monthly reporting engaging the Financial Operations Manager(s) on all findings
  • Identify risks and opportunities to Fin Ops team & Marketing Stakeholders with respect to budgeting, forecasting, and procurement
  • Collaborate to host Procurement and Budget training for 40+ stakeholders (2 x year)
  • In collaboration with Fin Ops team produce highly accurate monthly, quarterly, and annual budget reports and forecasts for multiple stakeholders and departments in multiple currencies/templates
  • Maximizing the JE process to provide business solutions
  • Special projects and ad hoc reporting as required by VSSM stakeholders

Supporting stakeholder / business asks that need special financial process support

  • Meeting with stakeholders and vendors
  • Requirements gathering
  • Developing the financial process to support the ask for a successful and compliant outcome
  • Tier 1 and Tier 2 financial operations support
  • Providing peripheral business needs as needed with similar financial operational support
  • Back up on purchasing task such as requisitions (knowledge of Ariba shopping cart process an asset)

Additional Description

Invoicing, Estimates, Purchase Orders

  • Oversee the estimate and invoice processing by team and provide guidance on account numbers and selecting budgets, reconciling information entered into the Marketing database and related budget reports
  • Act as back-up for Financial Operations Manager to approve purchase orders
  • Create manual debit and credit invoices as required - provide team direction to execute payments
  • Audit invoices, purchase requisitions and advertising estimates to ensure information is complete, correct, and meets company criteria
  • Vendor & Agency relationship management including contract management, renewals, issue resolution, special assignments engaging with procurement for successful outcomes
  • Liaise with purchasing and tax to ensure PO's are set up properly with the correct contract numbers, account numbers, and tax requirements
  • Liaise with GBS (global business service team) to identify and resolve escalating system issues and accounts payable system upgrades (including Ariba migration issues)

Ad Agency and Supplier Management

  • Manage advertising agency of record (AOR) finances and budgets

    • Act as primary point of contact for onboarding, training, invoice issue resolution and escalation, review budget reconciliation reports (BCR) and reconcile records to ensure BCR and GM Access database align
    • Host budget meetings/calls as required to ensure that AOR stays within budget liaising with Financial Operation Manager monthly on all budgets

Procurement

  • Assist stakeholders/managers with end-to-end procurement process
  • Assist stakeholders/managers/agencies with preparation and approval of single source documents

Required Skills:

  • Knowledge and understanding of Finance and Accounting
  • Multi-tasking and managing multiple priories
  • Ability to make decisions given limited/conflicting information
  • Ability to process high-volumes of data
  • Ability to meet deadlines
  • High degree of written communication skills
  • Flexibility to work evenings/additional hours during month-end
  • Desire to learn and find process efficiencies
  • Ability to host meetings and lead discussions

Preferred Skills

  • SAP/Ariba
  • Understanding of Canadian Taxes
  • Presentation Skills

Education / Work Experience

  • 2-5 years relevant financial operations experience in marketing or advertising
  • Degree in Business, Economics, Math, Accounting, Finance, or related field (CPA/CFA Designation not required
