Work Arrangement:

This role is based remotely but if you live within a 50-mile radius of Atlanta, Austin, Detroit, Warren, Pontiac, Milford or Mountain View, you are expected to report to that location three times a week, at minimum.

The Role:

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to the Vice President of State and Local Public Policy team. The ideal candidate will possess exceptional problem-solving skills, adaptability, the ability to work independently and embrace a partnership work approach. This role involves a wide range of responsibilities, both internal and external, requiring independent thinking and judgment.

This role requires a proactive individual with exceptional organizational skills and attention to detail, the ability to manage multiple tasks, and the capability to build and maintain relationships across the enterprise. Potential candidates should thrive and appreciate working in a fast-paced, high-energy team and be adaptable to change. They should be able solve problems independently through action, make high-quality decisions, and think with a strategic mindset. Graceful management of ambiguity, cultivation of innovation, and an insatiable desire to learn how public policy impacts the company will be considered.

Your Responsibilities will include:

Administrative Support : Provide comprehensive administrative support including managing calendars, scheduling meetings, coordinating travel arrangements, creating itineraries and managing expenses.

Project Management: Assist in the planning and execution of team projects, ensuring deadlines are met and objectives are achieved. Track project progress and provide updates as necessary.

Technology Management : Acquire proficiency in GM technologies, but also embrace new technologies, programs, applications, and tools to enhance productivity, including Microsoft Office Suite.

Document Preparation : Create, edit, and format documents, briefings, spreadsheets, and presentations. Ensure all materials are accurate, professional, and align with team standards.

Communication: Serve as a liaison between the executives and internal/external stakeholders. Craft clear and impactful communications and handle confidential information with discretion and professionalism.

Team Coordination : Organize and facilitate team meetings, including preparing agendas, taking notes, and following up on action items.

Provide support for all team meetings, events and core functions.

Initiative : Identify opportunities for process improvement and take the initiative to implement solutions that enhance productivity and efficiency.

Perform regular gap analysis of team assets, resources and strengths.

Cross-Functional Collaboration: Work across various departments to gather information, coordinate efforts, and ensure the successful completion of projects. Build and maintain strong relationships with colleagues at all levels, particularly EA peers on other teams.

Drive operational efficiencies, process modernization and automation; align team development priorities with GM SLT (Senior Leadership Team) priorities and corporate economic realities.

Event Planning: Assist in the planning and execution of internal and external events, ensuring all logistics are handled seamlessly.

Asset & Vendor Management: Oversee and manage GM's relationship with external contractors and associations by organizing contracts, vendor documents, incoming invoices, payment inquiries, track cost impact to budgets and communication between vendors and team.

Lobbying Compliance: Serve as a liaison between executive, team, and external parties to ensure compliance with individual state lobbying laws by gathering information.

Additional Description

Required Qualifications:

  • Minimum of 5 years' experience as an Executive Administrative Assistant supporting C-Suiteor equivalent
  • Must have experience working within a corporate environment of at least 100 employees
  • Demonstrated high-level of integrity and discretion handling confidential matters
  • Demonstrated ability to operate in a fast-paced, dynamic environment
  • Demonstrated ability to take initiative, be resourceful and resilient during times of challenge and resource austeri
  • Ability to look ahead, proactively anticipating the needs of the leader and business
  • Demonstrated ability to work independently on projects in an ever-changing environment
  • Highly proficient in Microsoft Office(Outlook, Word, Excel, and PowerPoint)
  • Highly proficient verbal and written communications skills
  • Must be willing to accommodate varied time zones to support leaders as needed
  • Occasional travel to GM locations as needed

Skills and Experience that may give you a competitive edge:

  • Bachelor's Degree
  • Previous experience working with State and local public policy
  • Previous experience within Corporate Communications
  • Professional Certifications such as American Society of Administrative Professionals (ASAP)

This job is not eligible for relocation benefits. Any relocation costs would be the responsibility of the selected candidate.

Compensation:

  • The expected base compensation for this role is $68,900 to 105,700 USD Annually.
  • Actual base compensation within the identified range will vary based on factors relevant to the position.
  • Bonus Potential: An incentive pay program offers payouts based on company performance, job level, and individual performance.
