Job Description

Essential Responsibilities:

  • Proactively coordinate complex and demanding calendars, meeting schedules, and occasionally conference events, ensuring alignment with overall business rhythm and travel requirements.
  • Plan intricate domestic and international travel itineraries, including transportation, lodging and other needs, in coordination with business meetings. Ensure compliance with GE Aerospace travel policies and systems, including maintaining passport and visa requirements.
  • Prepare and reconcile travel and living expenses promptly for all executives as requested. Maintain expense reporting approvals and workflow to ensure timely reimbursements and accurate reporting.
  • Manage email information flow by reviewing, prioritizing, and responding to emails. Organize overall Outlook by summarizing weekly content, identifying leader actions, and automating filing for organized and retrievable content.
  • Coordinate business communication by directing contacts to appropriate managers, gathering information for communications/presentations and disseminating information as needed.
  • Provide support to consultants in the Aerospace Response Center, including ordering necessary supplies.
  • Establish and maintain strong communication links with administrative personnel at the Group, Division, and Department levels.
  • Provide procurement support for geographically dispersed team, event materials, and other needs.
  • Work closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," sensing issues taking place in the environment and keeping the leader updated.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Assist with scheduling, planning and organizing logistical details for in-house and off-site meetings, training, and events. Support logistics for the direct and indirect leaders including transportation, hotel rooms, catering, and tickets. Prepare presentations and documents and may travel to events to assist with on-site facilitation.
  • Collaborate with Operations leader to develop and prepare agendas for departmental meetings; coordinate and attend staff meetings as appropriate; prepare and distribute minutes as needed.
  • Prepare, track, and coordinate mail and shipments for the organization. Effectively acquire and maintain inventory of office supplies and equipment within budget constraints.
  • Support community responsibility events/activities.
  • Coordinate facilities management, including new hire workspace, office moves, updating floor plans, reporting building issues, and communicating as necessary. Maintain office equipment, report issues, and request service to keep equipment operational. Act as custodian of organization resources.
  • Make decisions based on established policies, procedures, and regulations, applying them to work problems.

Qualifications/Requirements:

  • Bachelor's Degree from an accredited college or university, or a High School Diploma / GED with at least four years of experience in an Executive or Administrative Assistant position.

  • Self-Starter, proactive, able to work independently with minimal direction, maintaining confidentiality and handling matters discreetly.
  • Effective interaction and communication with senior-level management, corporate contacts, and external customers.
  • Ability to anticipate future needs of the team/leader, process information accordingly, and implement and maintain a processes to ensure flawless execution of deliverables.
  • Able to quickly identify and prioritize goals, utilize resources efficiently, create solutions and meet deadlines while considering both strategy and efficiency.
  • Risk Assessment and Business Acumen: The ability to identify, evaluate, and prioritize potential threats and vulnerabilities, and to develop strategies to mitigate these risks. Understand the internal and external factors that impact the organization including market trends, competitive landscape and regulatory requirements.
  • Information & Analytical Thinking: the ability to collect, analyze and interpret information from various sources to anticipate and counteract potential security threats, while thinking critically and analytically to solve complex security problems and make informed decisions.
  • Adaptability and Resilience: The capacity to adapt to changing security landscapes and recover quickly from setbacks or incidents.
  • Interpersonal Skills & Customer Service: Strong interpersonal abilities, effective networking and collaboration capabilities, and cultural competence. High emotional intelligence and self-awareness are essential for fostering a respectful approach to security operations.
  • Communication Skills: Strong verbal and written communication skills to effectively convey security policies, procedures, and incident reports to stakeholders at all levels. Active listening & relationship building.
  • Project Management: The ability to plan, execute, and oversee security projects, ensuring they are completed on time and within budget.

Pay and Benefits:

  • The pay for this position is $63,000 - 105,000 annually. This posting is expected to close on April 25th, 2025.
