The Role

As a member of the Fidelity Workplace Consulting (FWC) team, you will work with and learn from our service delivery and leadership teams across the organization. The FWC Administrative Project Coordinator staff at Fidelity plays an integral role in the company's success, and the individuals serving in these positions are recognized by their colleagues as key members of the delivery team. In this role, you will be involved in projects, executive events, onboarding/separations, client billing and invoicing as well as the day-to-day execution of client obligations. In addition to traditional administrative responsibilities, you will have the chance to use or develop basic project management, analytical and reporting capabilities to deepen technical skills in different areas of the business.

The Expertise and Skills You Bring

  • A bachelor's degree strongly preferred, or secretarial certificate/related work experience.
  • 5 or more years of demonstrated ability in a professional office environment.
  • Strong working Microsoft Office experience (Outlook, Word, Excel, and PowerPoint), and have the ability to learn new technology quickly.
  • Proficient with ACR submission, Concur, eReview and DocuSign processes.
  • Excellent writing, communication and editing skills, focus on details that ensure quality and brand.
  • Have a polished, calm demeanor and professionalism to be proactive and collaborate with management across all levels within Fidelity; and ability to maintain a high level of confidentiality.
  • Effective time management skills, with ability to prioritize and balance multiple tasks simultaneously, reacting and thinking quickly.
  • Some event planning, leadership off-sites and meeting coordination required; In-person assistance and coordination will be expected when leadership, clients, or internal visitors are in town.
  • A self-starter, able to work independently with a strong sense of ownership, involvement, and resolve. Seeks clarification or resolution when asked to assist with problem solving or troubleshooting issues.
  • A flexible teammate, willing to get involved and assist the work of the larger team across a variety of other duties, including backing-up peers.
  • Deep desire to work as a true partner with all levels of leadership and their teams and can anticipate their needs. Demonstrate willingness and approachability and passion for collaborating across teams and building rapport.

  • Contribute to the onboarding experience and underlying success of new hires, transfers and other associates and leaders joining Workplace Consulting.
  • Support broad office initiatives and projects outside of the standard day-to-day client needs. This may include taking full accountability and ownership over process enhancements, creating efficiencies, developing training, bringing awareness, and managing team expectations, etc. Be a trusted resource within the team.
  • Strong user of MS office applications and other office technology to help your team meet project expectations on time and of high quality.
  • Troubleshoot and support with critical issues. Field questions and connect them to the right people.
  • Help your assigned team be more effective and efficient; create high performing teams.
  • Support new office standards and processes; assist with rollouts for your team/office; be an advocate and help enforce adherence. Help move the business forward in a more modern and efficient way.
  • Be an active teammate and participate in peer group meetings and provide buddy/mentorship support to new team members, share knowledge/experiences and be a go-to resource to your peers and your team members. Create a personal brand.
  • Be agile and flexible in supporting the ever-evolving support model as our business needs continue to change over time.
