The Opportunity

Plans, monitors and coordinates internal projects from initiation through completion. Coordinates required resources, and uses formal processes and tools to manage resources, budgets, risks and changes. Coordinates projects to ensure on-time completion according to specifications and within budgeted costs.

Provides competent and professional coordination to assigned projects and programs, working in support of the Project/Program Manager. Coordinates a wide variety of activities throughout the project lifecycle including some combination of time, cost, RADIO management; project administration and procurement support; resource onboarding/offboarding; project reporting and document management.

The Role

Create, manage, maintain, and update schedules for multiple, large, or complex projects and programs as directed.
  • Develop procedures to improve scheduling processes.
  • Develop timelines for completion of tasks.
  • Keep Project Managers informed of impacts to project schedule.
  • Assure that schedule data (e.g., milestones) is provided for portfolio analysis as required.

Track project and program performance against budgets as directed.
  • Maintain accurate records of committed, expended, and forecast costs.
  • Maintain project information in Clarity, as applicable
  • Establish goods receipts, POs, and manage payment of invoices. Assure that cost data (e.g., cost vs actual) is provided for portfolio analysis as required. Documentation: technical and end-user documentation.

Assess, monitor and follow-up on risks, opportunities and issues as directed.
  • Assure that Issues, Risks and Opportunities are tracked.
  • Follow-up on Issues, Risks and Opportunities with owners.
  • Assure that issue, risk, and opportunity data is provided for portfolio analysis as required.

Coordinates project/program meeting activities as directed.
  • Schedules meetings
  • Coordinates logistics
  • Takes meeting notes/minutes
  • Drafts and distributes project-related communications

Help to assure effective communication, documentation and reporting as directed.
  • Administers project/program TEAMS channel at the direction of the Manager of assigned projects/programs.
  • Assures that project/program documentation is maintained and appropriately stored and accessible as required.
  • Supports the creation and distribution of project/program reporting at the direction of the Manager of assigned projects/programs.
  • Supports effective team and external communication.

Helps to manage vendor relationships and contracts (e.g., Master Service Agreements, Statements of Work, etc.) as directed.

Supports effective onboarding and offboarding of project/program team members.

Your skills and experience

Education

College degree, preferably in a related technical subject, business or industry-related subject or equivalent related work experience.

Experience
  • 1 - 3 years' experience in related fields and/or in the area of project coordination, customer support and administration. Experience in using formal project management methodology, techniques, and tools.
  • Proficiency in Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook); experience with Microsoft Project and Visio preferred.
  • Demonstrated communication and interpersonal skills.

Working Conditions
  • Supports the Project Manager by coordinating activities and resources and performing administrative functions.
  • Maintains a detailed project schedule which includes administrative tasks and all sites involved in the project.
  • Coordinates meetings, including travel arrangements and expense reports.
  • Develops presentations and reports at the direction of the program and project manager or other leads.
  • Prepares, edits, and publishes or distributes meeting minutes, presentations.
  • Uses the SDLC and other required processes and methodologies.
  • ***In general, limited overnight travel required. However, volume of travel can be impacted by the needs of projects or company meetings.
  • Fast paced environment with frequent interruptions.
