What you'll do:

The Site Coordinator provides critical on-site administrative support for the Eaton project delivery team for large data centers. Working in a complex and dynamic environment. This role ensures that processes are clear and followed on a daily basis and that site data such as time tracking is accurate and reported in a timely manner. The on-site admin must be flexible and able to manage unexpected requests as required, while working with a wide variety of internal and external stakeholders. This role is ideal for a motivated individual with an aptitude for problem-solving, learning, and organizing in a face paced environment.

Daily responsibilities include:

  • Collating and filing EHS documentation.
  • Creating toolbox talks and attending EHS meetings in the EHS Manager's absence.
  • Coordinating safety training for new personnel and visitors.
  • Managing personnel data in the Data Scope System.
  • Booking, tracking, and arranging deliveries.
  • Processing timesheets to generate statistics.
  • Maintaining a daily work schedule.
  • Collecting and filing third-party test results and calibration certificates.
  • Collecting and filing Eaton test results from site engineers.

Weekly responsibilities include:

  • Attending the Weekly toolbox talk - collate / file sign off sheets.
  • Maintain a weekly works schedule to record weekly task progressing.
  • Chairing a weekly progress meeting and sharing results with Management Team.

Other general responsibilities include:

  • Continuous optimization of all (administrative) processes.
  • Ensuring a clean desk policy is always maintained.
  • Ensuring all office stationary requirements are available.
  • Maintain the EHS HRA wall with weekly information on site works.
  • Collation of 3rd party part and serial numbers and adding to the customer asset control system.
  • During rotation or absence of team members, cover meetings and represent as a spokesperson on site.
  • Any other reasonably requested tasks to ensure the smooth running of the project.

Qualifications:

  • Bachelor's degree (in a technical/engineering field is an advantage) from an accredited institution or final year university student.

Skills:

  • Advantage if you have experience in administration
  • Excellent working knowledge of Microsoft Office 365
  • Strong organizational skills
  • Ability to multitask
  • Attention to detail
  • Excellent communication skills
  • English language knowledge on a fluent level
  • Driving license B
  • Right to work and freely travel in EU
