The expected annual salary range for this role is $56250.0 - $82500.0 a year.

What you'll do:

Job Summary
Provide value-added administrative support to the Senior Vice President, FP&A and Finance Transformation, utilizing previous experience, strong problem-solving ability, balanced judgement, communication skills, sensitivity and discretion. Additionally, will collaborate and support all department employees with daily calendars, travel, day-to-day activities, along with all administrative requests. This includes collaboration and support for the SVPs functional teams as well.

Job Responsibilities

  • The SVP's duties remain the top priority, unless told otherwise. This position requires a high sense of urgency and excellent phone / email communication skills dealing with frequent contact with top level internal management.
  • Responsibilities include scheduling all meetings / appointments, maintain constantly changing calendars; many of which involve executive-level attendees or outside professionals. Organize travel, correspondence, presentations, meeting coordination and logistics, invoice processing, and all day-to-day activities. Requires being highly flexible and proactive in order to address changing priorities, meetings and tight deadlines. Position requires someone with a high-energy level; someone who is low-maintenance, with the ability to work independently, having minimal supervision and sometimes limited direction, and can be assertive when needed. There is also continual access to highly confidential information that has a significant impact on the organization. Confidentiality is a must.
  • Assist the SVP by anticipating his/her and the departments needs with various tasks throughout the year. Schedule and organize internal and external meetings, lunches, dinners, and other events. Create travel arrangements and expedite expense reports. Assist the team in preparation of Eaton's scheduled Board of Directors meetings, and other SLC meetings scheduled throughout the year.
  • Support the FP&A and Transformation teams with maintaining calendars scheduling monthly and annual meetings, and handling changes that will occur with diplomacy. Provide important SLC calendar dates and information on current members and their assistants for planning purposes.
  • Assist Hiring Managers with recruiting, setting up all calls / interviews, and travel logistics. Administrator for the Docusign. Create projects with input from team members. Maintain daily communications as appropriate - respond and direct corresponding emails and incoming calls.
  • Administrator for the relevant controllership sharepoint and team coordination sites.
  • Track all monthly department costs with Finance to review monthly reports, general ledger listings, and making appropriate forecast changes. May participate in annual Profit Planning process. Process annual invoices for services, and negotiate contracts with the help of SCM when needed.
  • Coordinate and maintain all office supplies for the department to ensure consistent inventory.
  • This position requires one to maintain a high degree of flexibility, discretion, and organization to accommodate the high-volume, fast-paced work environment.

Qualifications:

  • Associate's degree from an accredited institution
  • Minimum of five (5) years' of experience as a Sr. Administrative or Personal Assistant
  • Experience working with executive-level leader or officer
  • Position reports 100% on site. Relocation is not included with this position; only candidates within the 50-mile radius of Beachwood, OH will be considered.
  • Must be legally authorized to work in the United States.

Preferred Qualifications:

  • Three (3) years' working with executive-level leaders
  • Experience in Microsoft Office 365 applications including Outlook, PowerPoint, SharePoint, Teams, Excel, Word, etc., as well as DocuSign

  • Exhibits high degree of reliability and trustworthiness with an ethical approach.
  • Effectively work and partner with people at all levels of the organization as well as external contacts, customers, suppliers, etc.
  • Operates with a digital mindset, leverages data, digital tools and processes while operating with agility.
  • Strong written and verbal communication skills, analytical ability, and excellent interpersonal skills.
