We have an exciting opportunity for an experienced Executive Assistant to join Computershare, on a 6-month fixed-term contract. You will be working closely with the Global CEO and Global COO of our Georgeson division. You will be able to utilise your extensive organisational skills to provide administrative support at an Executive level. You will need to be able to adapt at short notice to various changes in schedules and plans and be able to support this.

A role you will love

As an Executive Assistant, you will provide a wide variety of administrative support for the Global CEO and Global COO. This will include extensive diary management support, including organising all travel arrangements and logistics both nationally and internationally, ensuring that this is detailed in their calendars and for other meeting attendees.

Other key responsibilities include:

  • Extensive diary management for the global CEO and regional CEO, as well as organising all travel arrangements both nationally and internationally including all logistics.
  • Proactively managing the administration workload for global CEO and global COO, including following up on actions from their meetings without prompting and providing proactive email management for them by forwarding on updates to their direct reports, responding to emails when required, filing and printing papers as needed.
  • Ad hoc project support and co-ordination as required.
  • Ad hoc room bookings and travel bookings for other senior managers in the business.
  • Submitting new starter requests via helpdesk when needed to ensure they have everything they need prior to their start date.

You will have previous experience of providing Executive or office management support, preferably within a global organisation. We need you to have the ability to use your own initiative, to find resolutions to conflicting requirements and demanding schedules within a global team.

Other required skills, experience, and competencies include:

  • Ability to deal with a variety of written correspondence.
  • Excellent time management and the ability to deal with conflicting priorities and adapting to changing environments
  • Be a self-starter, be able to successfully prioritize and manage multiple complex tasks, and work well under pressure with limited supervision both individually and at times, with other team members.
  • Excellent verbal and written communication skills with the ability to interact with employees across a complex global organisation.
  • Be able to adapt to a flexible working model, such as attending conference calls meetings outside of normal office hours and occasionally travelling to other local and international Computershare locations.
