Position Summary:

This position plays a key support role by providing accurate and timely financial information and analytics, identifying opportunities to streamline processes, and partnering to improve business performance. This position will help to manage, control and monitor the financial impact of shared organizational costs, while also tightly managing costs related to strategic business initiatives. As this role will be responsible for the review and analysis of overhead costs across various departments within the organization, a high degree of professionalism and ability to sensitively deal with confidential material will be expected.

This role will also require a strong accounting background, as this person will be responsible for the integrity of the Business Support Services (BSS) financial statements through properly recording, verifying, consolidating, and entering of transactions. Furthermore, this role will need to liaise with various associates within the General Ledger team to ensure intercompany eliminations are correctly being reflected. With five entities comprising City of Hope (Philanthropy, National Medical Center, Beckman Research Institute, Medical Foundation, TGen), understanding the close process will be a crucial area as it directly translates to the accurate presentation of the City of Hope Financial Statements. This will include a strong understanding of elimination rules, various cost transfers that occur throughout the month, as well the service level agreements within City of Hope. This associate will maintain and report on this related data in accordance with Generally Accepted Accounting Principles.

Aside from liaising with associates on the Corporate Accounting team, this person will need to work closely with various levels of management throughout the organization to ensure that expenses are properly recorded and year-to-go projections are aligned upon against year-end targets. By understanding current and projected spend, and other key variables (i.e. departmental activity sets, new hires, etc.), this person will be better equipped to develop short term forecast models that can enable better management of overhead costs. Ensuring that a cadence of recurring meetings with departments heads are occurring will also help the person in this role in managing the monthly accrual process; this will be a crucial area in ensuring that expenses are posted to the proper period.

Additionally, this role will be expected to make recommendations to their line manager on creating efficiencies, including implementing standardizations and streamlining processes where applicable. Utilizing efficiencies within ERP to further improve processes will be key areas of focus in improving day to day operations. Recommendations would include (but are not limited to), reviewing end to end month-end closing procedures to determine how to reduce the close timeline, unlocking ERP functionality to reduce manual journal entries and make better use of system automations, etc. Furthermore, this role will also be expected to review (and make efficiency recommendations to) the cost center and hierarchy structure of the organization. As noted, this will require inter and intra departmental discussions with key stakeholders as a means to gather alignment prior to implementing any material changes.

Key Responsibilities include:
  • Work with Senior Manager as it pertains to maintenance of General Ledger Chart of Accounts for the Business Support Services entity. Will need to reconcile and analyze select general ledger accounts, ensuring reconciliations are occurring on a consistent and timely basis where applicable.
  • Assists with auditors and provides necessary information regarding accounting procedures and data.
  • Assists with the development and improvement of current COH accounting policies/procedures and financial reporting information flows between Corporate accounting and its end users. Identifies ways to improve processes and designs a plan to put the improvements into place.
  • Proactive identification and analysis of business issues and opportunities, including recommendations for future actions.
  • Perform analytics over the BSS entity. Additionally, financial statements will require an in-depth month-end review with key stakeholders to ensure transactions are properly recorded. This role will be expected to work with key departments each month to ensure a high level of visibility/understanding is communicated to key personnel.
  • Support manager in preparation of month-end financial statements
  • Participate in meetings as necessary to track progress and impact to multiple business cases. Prepare for Management business reviews, and strategic planning cycles.
  • Present results of analyses directly to senior leadership through the creation and delivery of compelling and insightful presentations.
  • Ensure intercompany elimination rules are properly reflected in the City of Hope financial statements. Some of the intercompany transactions include (but are not limited to) interest swaps, revenue allocations (i.e. royalties), accruals for vouchers not posted at month-end, intercompany cash transfers, etc.
  • Coordinate multiple deliverables and act as an ambassador across teams to effectively streamline the strategic vision to ensure execution.
  • Complete Year-to-Date, Year-to-Go, and Year-End Estimates to ensure that key stakeholders within the enterprise have visibility to risks and/or opportunities to year-end commitments.
  • Perform short-term modeling to better enable department heads to make key business decisions. This will require the person in the role to have a strong understanding of key activity sets, departmental structure, labor force, etc).
  • Present efficiency recommendations to manager as in pertains to recurring month-end processes (i.e. reduce manual journal entries, develop month-end checklist of key close processes, recommend standardizations where applicable).
  • Performs the analysis and interpretation of financial data, which will include partnering with Finance at times to assist in various reporting requirements
  • Review cost center and ledger accounts, making recommendations to rationalize where necessary.
  • Maintain mortgage amortization schedule, ensuring payments are properly booked against principle and interest on a monthly basis.
Basic education, experience and skills required for consideration:
  • Bachelor's degree in Accounting, Finance or Business Administration.
  • 5+ years of progressive accounting and/or finance experience.
