Overview

The Administrative Coordinator is a full-time position responsible for providing administrative support to the Franchise team within the Employment, Franchising and Litigation (EFL) sub-department of the Legal Department at Chick-fil-A, Inc. This position will report directly to the Senior Director of the Franchise team; will provide direct support for additional attorneys and paralegals; and will work from time to time with the broader EFL. This role requires collaboration and communication on an ongoing basis with business partners, inhouse counsel, and outside counsel, as well as opportunities to work on projects and provide legal support working with other EFL teams, as needed.

Responsibilities

Key responsibilities of this role include, but are not necessarily limited to:
  • Manage calendars for multiple attorneys and paralegals with busy meeting, work, and project schedules, typically working cross-functionally with administrators and professionals from all departments across the business, as well as outside counsel and law firms.
  • Schedule, coordinate, help facilitate and provide ongoing support for various team and department meetings.
  • Assist in logistics planning and preparation for training programs, including the assigned work to design, create and revise/update training outlines, PowerPoint presentations and other materials.
  • Enter and maintain data in the team's (i) SharePoint site, which serves as a document repository and information sharing resource, and (ii) TeamConnect, which serves as the team's e-billing and matter tracking system.
  • Manage files using hardcopy filing practices and electronic iManage system.
  • Prepare, revise and distribute letters, memos, correspondence, agreements and various other documents.
  • Perform internal fact research based upon information in CFA's systems pertaining to various franchise matters and other restaurant related issues.
  • Answer, screen and return calls/emails to others on various matters and issues.
  • Make travel arrangements for the attorneys, including flights, hotels, and conference/seminar registrations.
  • Prepare and submit expense reports for the team.
  • Lead or participate in hosting team or Legal Department visitors and guests.
  • Track/process team Bar and license renewals, organization memberships and subscriptions.
  • Organize and distribute mail for the entire team.
  • Perform various other administrative tasks and support to attorneys and paralegals on various staff, franchise, and litigation matters, as needed.


Minimum Qualifications

  • Knowledge or familiarity with various Office 360 applications


Preferred Qualifications

  • Experience working in a law firm or legal department environment
  • General experience in creating and improving business processes
  • Knowledge or/familiarity with DocuSign, iManage, PowerPoint and various other Office 360 applications
