About The Role:

As a CBRE Administrative Assistant, you will provide administrative and coordination assistance to a division on the national Local Support team.

This job is part of the Administrative Services job function. They are responsible for providing administrative support to areas of the business including operations, teams, job functions and senior management.

What You'll Do:

  • Prepare documents to include handling the correspondence process from start to finish, including but not limited to letters, memos, requests and preparation of proposals/contracts. Collect accurate documents required for the completion of the task/proposal.
  • Coordinate with other Core Valuation & Advisory Services (VAS) teams in ensuring contacts are inputted into the Tops2 VAS platform.
  • Travel arrangements including air, hotel, and car as needed using an internal platform (NEO).
  • Input expense reports into the proprietary database system (Tops2) as well as approving expenses, ensuring properly coded.
  • File correspondence and other records electronically in various locations depending on file.
  • Prepare outgoing mail and distribution of incoming mail as needed.
  • Provide back-up support to other members of appraisal department's office manager and/or other staff members as needed.
  • Accounts payables and receivables processing as needed as well as assisting directing employees to appropriate accounting parties as needed.
  • Ensure all appraisers' licenses are up to date and help appraisers process license applications as needed.
  • Supply & business card ordering. Work in COUPA for approvals.
  • Timecard approval and management as proxy to a Manager/Managing director.
  • Assist local manager with processing promotions, employee changes, and documenting the changes on Smartsheet and in the repository.
  • Work with local management to prepare first day logistics and new hire kits.
  • May assist with opening and closing of an office/executive suite working with various teams.

What You'll Need:

  • High School diploma or general education degree (GED) required
  • One to two years of related experience and/or training.
  • Ability to comprehend instructions, correspondence, and memo's and ask clarification questions to ensure understanding. Ability to write simple correspondence. Able to communicate and training appraisers on word processing issues to minimize corrections. Able to effectively present information to co-workers and/or supervisors on a one-on-one basis as well as to vendors/clients if needed.
  • Basic knowledge of financial terms and principles.
  • Ability to understand and carry out general instructions as well as solve problems in standard situations. Requires basic analytical skills.
  • Intermediate experience with Microsoft Office Suite (Word, Excel, PowerPoint, Excel) and Adobe software (Acrobat Pro). The ability to type 55 WPM with accuracy.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Administrative Assistant position is $55,000.00 annually [or $26.44 per hour] and the maximum salary for the Administrative Assistant position is $65,000.00 annually [or $31.25 per hour]. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
