Job Description Summary

We are seeking a Project Support Officer to join our Project Management team in ANZ on a 6-month fixed term contract, working as part of a projects team that values excellence, collaboration and teamwork. This role will be responsible for supporting our Project Management division across various programs and projects within Medication Management Solutions business at BD.

This role would be suitable for an experience Project Support Officer with an extensive background in supporting project teams and completing administrative activities within projects. The role is ideally suited to a motivated individual who enjoys problem solving, displays exemplary customer service, has excellent self initiative and a focus on continual process improvement. The role offers the opportunity to work with market leading automation and robotic equipment in hospitals and pharmacies across Australia and New Zealand, delivering projects that improve the delivery and quality of healthcare in the region.

Key Responsibilities:

  • Working with Project Management team to manage the administrative work required to achieve the program/project's objectives.
  • Display strong communication skills collaborating with Project Management team, customers, and other project stakeholders.
  • Maintain an effective relationships with internal and external project stakeholders.
  • Design and supply detailed reporting on project and program status in consultation with the Project Manager and project stakeholders.
  • Ensure centralised project reporting and tracking systems are kept updated and dashboard reports are regularly circulated for stakeholder review.
  • Consistently meeting deadlines through quality administrative skills.
  • executive administrative support for admin functions such as travel, calendar management and expense management.
  • Track project activities, risks and outstanding actions to engage project stakeholders as required.

Key Competencies:

  • Team player equipped with a growth mindset, able to operate in a highly motivated & open feedback environment
  • Positive, reliable, trustworthy, "hands on" and proactive personality
  • Highly organized with strong attention to detail and outstanding organizational/ self-organisational skills
  • Previous experience in an project based administrative or support role in a fast paced, high volume environment
  • Experienced in developing and maintaining detailed reporting and process improvement tools utilising existing project management software.
  • Experience in providing administrative assistant tasks to Projects team such as flight bookings, travel support and calendar management.
  • Strong communicator with good verbal and written ability
  • Excellent computer skills (MS Office, Smartsheet, CRM tools)
  • Experience using 'Smartsheet' would be advantageous. Any other Project management software would also be a bonus
  • Ability to think in a creative manner
  • Self-starter; able to work alongside various Project Managers within the Project Management Office
  • Academic degree in business administration, financial statistics, analytics or similar preferred
  • Experience in visualisation and connection of data (this is unclear)
