POSITION SUMMARY

Responsible for performing all administrative and logistics duties for the Board of Directors and Board Committees and serves as primary executive assistant for the Banner Health President and CEO.

CORE FUNCTIONS

1. Schedules and manages logistics for all board and committee meetings; notifies board/committee members of meetings by written notice; and follows up as needed to ascertain attendance.

2. Works with President and CEO to compile board agendas; interfaces with management for agenda information; gathers data and materials to be provided to board members and/or presented at meetings; prepares board/committee packets and materials for each meeting.

3. Monitors and manages processes on governance and maintains key corporate documents and records in collaboration with legal.

4. Attends and records minutes for board and committee meetings as requested. Prepares Summary of Actions for all meetings; maintains board/committee-related minutes and files.

5. Maintains biographical data on each board/committee member and maintains records for all board/committee members showing years of service, terms, and membership information on various boards/committees.

6. Schedules and coordinates board related travel and other educational meetings. Works with the President and CEO to plan and coordinate board retreats or site visits for board members and guests (speakers, rooms and menu selection, meeting rooms, special activities, transportation, and entertainment).

7. Maintains President and CEO appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel plans. Ensures the President and CEO have scheduled time with direct staff members and key stakeholders on a regular cadence.

8. Compose correspondence or respond to individuals, which requires knowledge of the president and CEO's views and philosophy and some understanding of sensitive and technical matters. Work with senior leaders to address grievances and inquiries that come into the office of the President and CEO.

9. Frequently handles a wide variety of situations and conflicts involving the administrative function of the office, which should resolve without the attention of the President and CEO. This includes planning, organizing, directing, and controlling various tasks and internal/external requests, as well as assisting in determining daily priorities to maximize their time and keeping them informed accordingly.

10. Conserves President and CEO time by proactively reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating telecommunications.

11. Builds and supports effective collegial relationships with senior administrative team members, ensuring and fostering a high level of collaboration. This includes completing projects by assigning work and following up on results. Provides direction and counsel to identify and resolve issues and problems.

12. Performs special projects and assignments related to board activities as requested

MINIMUM QUALIFICATIONS

A thorough knowledge of business and/or healthcare operations as normally obtained through the completion of a bachelor's degree in business, healthcare administration, related field OR certified paralegal is required.

Must possess at least seven years of experience providing enterprise-level C-suite executives with administrative expertise. Must have a minimum of five years of demonstrated experience working independently with minimum supervision.

Must have advanced skills in all Microsoft Office applications (Microsoft, Excel PowerPoint, Teams, and Outlook) to perform job duties. Demonstrated problem-solving skills that involve identifying, analyzing, and proposing solutions to complex problems. Proven experience with critical thinking through objective analysis and evaluation to form reasoned judgments and make informed decisions for the CEO, executives, and the company within appropriate parameters. Proven experience representing the needs of the company and CEO in highly sensitive situations and project management experience organizing complex projects. Experience leading all board of directors' meeting logistics management, including venues, contracts, agendas, audio-visual support, catering, lodging, and all associated responsibilities. Ability to communicate and collaborate clearly and professionally with all organizational levels, using excellent verbal and written communication skills. Strong math and writing skills with the ability to notice and address even the smallest aspects of a task or project ensures work accuracy, quality, and thoroughness. Demonstrated ability to produce Board and executive-level reports, posting, and communications. Ability to handle confidential and sensitive information and situations with integrity, confidentiality, and professionalism.

PREFERRED QUALIFICATIONS

Previous experience providing direction and mentoring to other Executive Assistants preferred.

Additional related education and/or experience preferred.
