Our Ways of Working

We have team members located across the United States and Canada spanning multiple time zones. This means we put in extra effort to make sure we connect and collaborate in ways that make sense for us. 

We know that personal connection is the foundation for the great work we do together. In order to build those relationships with team members in other cities, we meet with coworkers in person two times a year at a full company offsite and a departmental offsite. These offsites are expected of employees and are great opportunities to meet the people you work with every day and to do some of the work that is much more difficult to do virtually. This role is on-site five days a week at our Headquarters in Emeryville, CA.

We’re looking for a smart, resourceful, and energetic Executive Assistant & Office Administrator to join our Emeryville office. This dual role is perfect for someone who’s as comfortable managing executive calendars as they are creating a vibrant and organized office environment. You’ll be the go-to person for making things happen, supporting our leadership team, and keeping the office buzzing with positive energy.

Who You Are

  • Onsite Availability: Must work onsite at our Emeryville office full-time
  • Experienced: 3+ years in a similar administrative or office coordination role, both is best!

How You Will Make An Impact

  • Executive Support
    • Manage complex calendars, schedule meetings, and submit expense reports for executives
    • Proactively order lunch for executive meetings such as board meetings and monthly in-person executive meetings being hyper conscious of food allergies in the team
    • Organize meetings by scheduling both in person and virtual meetings, send reminders, and follow up 
    • Handle vendor relationships including communications and office-related orders
    • Schedule a variety of all company meetings including offsite calendar holds and  calibration meetings
  • Office Administration
    • Take pride in ensuring the Emeryville office is organized, welcoming, and fully stocked
    • Manage office vendors, supplies, and equipment to keep everything running smoothly
    • Plan and coordinate team events, meetings, and celebrations - we work hard and want to celebrate our accomplishments and milestones! 
    • No job is too big or too small. Make coffee in the morning and clean up dishes in the afternoon. Make sure the fridge is always stocked with drinks and there are healthy snacks in the office. 
  • Problem-Solving & Special Projects
    • Assist in broader people/TA tasks such as supporting our Fulfillment &Operations recruiting events and onboarding assistance when needed
    • Anticipate needs and resolve issues before they arise

Babylist takes a market-based approach to pay, and pay may vary depending on your location. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location.

The estimated pay range for this role is $66,400.00 - $99,600.00

In addition, Babylist offers equity, bonus, and benefits, including company paid health, dental and vision insurance, 401(k) matching, flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies.
