Job Description

Aramark is currently seeking an Events Operator - Conference Planning Coordinator to join our team at the FDIC Training Center in Arlington, VA. The Events Coordinator will support the Conference Planning Management team on special event requests. They will coordinate efforts with the Conference Planning Managers' team, to properly meet the needs of the account.

Job Responsibilities

  • Monitor event intake requests and schedule appropriate meeting space and lodging based on client's needs.
  • Serve as the primary point of contact for clients during the initial request phase to understand event requirements and preferences.
  • Communicate effectively with clients to gather event details, provide updates, and address any concerns or questions.
  • Initiate requests with local venues when space is required offsite when needed. Maintain the Sales and Catering software database.
  • Review for conflicts and provide resolution, when needed.
  • Create, update, and distribute multiple daily/weekly/monthly reports to various stakeholders in a timely manner.
  • Maintain relationships with local meeting vendors to ensure high-quality services and competitive pricing.
  • Complete various administrative tasks, such as monitoring multiple email mailboxes, answering emails, and filing paperwork.
  • Provide both administrative and on-site event support, when needed.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

Qualifications

  • 1-2 years of professional experience in hospitality, events, or related field and/or degree/certification in Hospitality Management or related field preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to work well under pressure, manage multiple tasks simultaneously, and adhere to deadlines.
  • Proficiency in Microsoft Office Suite and event management software preferred.
  • Creative problem-solving skills and a proactive attitude
  • Proven experience as an Event Coordinator or similar role.

This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling, and/or extended walking and standing. This role may also require uniforms and/or the usage of Personal Protective Equipment (PPE).

Education

High School Diploma

Associates preferred
