Job Overview:

The Office and Facilities Manager is responsible for overseeing and managing the daily operations of the office environment and all related facilities. This role ensures the efficient functioning of the office by coordinating office services, maintaining a safe and well-organized working environment, and managing various facility-related tasks. The individual will work closely with other departments to ensure smooth operations, employee satisfaction, and compliance with safety regulations.

Your Role

  • Operation of the reception area (visitor management, catering for meetings, travel arrangements, company car key and general key management..)


  • Operation of the logistics office (Receipt and dispatch of goods, dispatch of prototypes)


  • Point of contact for the resolution of conflicts in the invoice processing


  • Deep involvement and support of the site management in site/facility capital and expense planning and cost tracking


  • APA (Acquisition Process Analyst) for all site related purchase activities and for some engineering groups and special material


  • Planning, procurement and management of office supplies


  • Planning, procurement and management of IT equipment and mobile phones


  • Planning and leading of renovation projects, space optimization, special areas (e.g. shared desks, high security areas).


  • Interface and core contact to the facility service provider and various additional suppliers used in the site/facility context.


  • Special assignments and additional roles (e.g.global sharepoint administrator).


  • Responsible for UPS systems, air condition, access control system, camera surveillance system, intrusion protection system, fire alarm system, car charging stations, license servers...


  • Responsible for the commercial canteen equipment


  • Interface to landlords


  • Membership of the site EHS team


  • Business data management


  • Calibration services for measurement equipment used in the engineering department and in the production area


  • Local information security officer


  • Interface to the IT Organization


  • Local site related execution of IT projects

Your Background

  • Bachelor's degree in Business Administration, Facilities Management, or related field (preferred).


  • 3-5 years of experience in office management, facilities management, or related fields.


  • Strong organizational and multitasking abilities.


  • Excellent communication and interpersonal skills.


  • Problem-solving and troubleshooting skills.


  • Ability to manage budgets and vendor relationships.


  • Proficiency in office software (e.g., Microsoft Office Suite, facilities management software).


  • Strong attention to detail and commitment to providing excellent customer service.


  • Ability to work independently and as part of a team.
