SENIOR OPERATIONS ASSISTANT

Senior Operations Assistant support services to ZS professionals as they complete their work. The administrative services team provides administrative support, travel-planning operations, catering coordination and facilities management.

What You'll Do

  • Front-desk responsibility: handle front desk reception responsibility (answering phones, greeting/escorting visitors, handling mail and deliveries).
  • Act as lead liaison for multiple vendors (property management, various suppliers, office services).
  • Coordinate building services with the landlord.
  • Organize office equipment maintenance, repair, and replacement.
  • Order office supplies-stationary, paper,etc,
  • Order kitchen supplies
  • Oversee purchasing of supplies and equipment.
  • Manage inventories of office and IT supplies/equipment.
  • Office finance support (expense reconciliation, vendor invoice processing, general purchasing).
  • Coordinate disaster management functions in the office.
  • Management and support local office registration (one-time and ongoing).
  • Providing orientation and instruction on procedures to new employees.
  • Set up office meetings and events, including catering needs.
  • Provide administrative support to increase manager productivity (scheduling, screening calls, interacting with venfors, and emails correspondence, legal support, finance).
  • Support IT related administrative tasks.
  • Prepare domestic and international travel logistics (itineraries, visas,etc).
  • Support special projects as needed.

What You'll Bring

  • High school diploma required, post-secondary education or Associate's /Bachelor's degree preferred.
  • At least 5 years of relevant work experience as an Administrative/Executive Assistant, preferably in a professional services environment.
  • Computer fluency with MSOffice (Word, PowerPoint, Excel and Outlook)
  • Strong oral and written communication skills.
  • Professional appearance and demeanor with ability to exercise good judgment and discretion.
  • Attention to detail, dependability/punctuality.
  • Proactive self-starter with ability to management a wide variety of tasks and meet deadlines.
  • Experience working both independently and with a team in a demanding environment.
  • Sense of humor appreciated.
