What You'll Do

  • Provide administrative support to managers (screening calls, interacting with vendors and clients, email correspondence, etc.);
  • Provide scheduling support to multiple individuals (appointment, calendar and meeting management);
  • Complete expense reports;
  • Prepare domestic and international travel logistics (intineraries, visa, etc.);
  • Coordinate internal and external meetings/activities (i.e. facility reservation and set-up, hotel accomodations, catering, etc.);
  • Prepare and organize documents for client proposals and presentations as needed (contract tracking, printing, organizing and archiving meeting/support materials);
  • Address problems and troubleshoot with internal and external stakeholders;
  • Involvement in planning office events;
  • Assist with facility management by coordinating with vendors, overseeing projects, and manage updates with office;
  • Mentor other support services professionals.

What You'll Bring

  • High School Diploma required, BA/BS degree highly desirable;
  • Minimum of 6 years successful work experience as an Administrative Assistant, Office Manager, or Executive Assistant
  • Computer proficiency in MSOffice suite (Word, Excel, PowerPoint and Outlook), SAP and Concur desirable;
  • Strong administrative support skill set;
  • Exceptional organizational skills, professionalism, detail-orientation, time management and flexibility;
  • Fluency in English with sufficient written English skills required;
  • Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines;
  • Strong initiative, independence, and ability to manage stressful and quickly changing situations.
