Job Summary:

The Associate Project Manager is responsible for managing various aspects of IT technical projects, ensuring they are executed on time, within budget, and according to scope. This role leverages strong technical expertise and project management skills to support the organization in achieving its project goals. The Associate Project Manager will work closely with business leaders and cross-functional teams to coordinate, track, and oversee the day-to-day activities and resources required for effective project management. This position involves managing a variety of projects, including new technology implementations, system upgrades, and process optimizations, while maintaining clear communication with all stakeholders to ensure alignment and successful project outcomes.

Principal Duties and Responsibilities:

  • Lead Project Initiation and Planning: Facilitate the initiation of IT technical projects by defining project scope, objectives, and deliverables. Conduct kickoff meetings and schedule regular team meetings to advance the project plan. Develop and maintain a master project schedule, ensuring alignment with overall organizational goals.
  • Resource Management and Coordination: Collaborate with cross-functional teams and stakeholders to define resource needs, availability, and allocation. Develop a comprehensive resource plan to ensure project tasks are adequately staffed and milestones are achieved. Ensure compliance with project management processes and timely completion of required deliverables.
  • Risk Management and Mitigation: Identify potential risks and obstacles to project success. Proactively work with project teams to develop risk mitigation strategies and contingency plans. Escalate significant risks to appropriate stakeholders to maintain visibility and ensure swift resolution.
  • Status Reporting and Communication: Prepare and deliver project status updates, presentations, and reports to stakeholders, including senior leadership. Ensure transparent communication of project progress, changes, risks, and outcomes to all relevant parties.
  • Manage Technical Project Requirements: Oversee projects that may involve new technology implementations, system upgrades, cybersecurity enhancements, and process optimization initiatives. Ensure that all project activities comply with relevant IT standards, regulatory requirements, and best practices.
  • Stakeholder Engagement and Collaboration: Build and maintain strong working relationships with business leaders, technical teams, and external vendors. Foster a collaborative environment to ensure project objectives are understood, resources are optimized, and stakeholder expectations are met.
  • Continuous Improvement: Lead efforts to refine and improve project management processes and methodologies, fostering a culture of continuous improvement within the team and across the organization.

Expected Areas of Competence (i.e., knowledge, skills, and abilities)

  • Technical Project Management Expertise: In-depth knowledge of project management methodologies (e.g., Agile, Scrum, Waterfall) and tools (e.g., MS Project, Jira, Trello, Smartsheet). Proven ability to manage complex IT projects, including software development, system integration, and infrastructure upgrades.
  • Strong Communication Skills: Exceptional ability to communicate complex technical information clearly and concisely, both verbally and in writing. Capable of influencing and persuading stakeholders at all levels, from technical teams to senior leadership.
  • Leadership and Team Collaboration: Demonstrated ability to lead cross-functional teams, fostering collaboration, and driving project success. Skilled in managing diverse teams, including remote and geographically dispersed members, to achieve high performance and project alignment.
  • Problem-Solving and Decision-Making: Strong analytical skills to identify issues, assess risks, and develop effective solutions. Ability to make informed decisions under pressure, considering both short-term and long-term project impacts.
  • Adaptability and Agility: Comfortable working in fast-paced, dynamic environments. Ability to adapt to changing priorities, manage multiple tasks simultaneously, and remain flexible in the face of uncertainty and ambiguity.
  • Stakeholder Management and Relationship Building: Proficiency in managing stakeholder expectations and maintaining strong relationships with key internal and external partners. Capable of engaging diverse groups to build consensus and drive project alignment.
  • Organizational and Time Management Skills: Strong ability to prioritize tasks, manage time effectively, and maintain focus on key project objectives. Organized and detail-oriented with a commitment to meeting deadlines.
  • Continuous Improvement Mindset: Commitment to ongoing learning and improvement. Proactively seeks opportunities to enhance project management skills, methodologies, and tools to drive efficiency and project success.
  • Technical Proficiency: Familiarity with IT infrastructure, software development, cybersecurity principles, and cloud computing environments. Able to quickly understand new technologies and their impact on project objectives.

Education/Experience Requirements

  • Typically requires bachelor's degree in information technology, Computer Science, Engineering, or a related field is required.
  • A master's degree in a relevant discipline (e.g., Information Systems, Project Management, or Business Administration) is preferred.
  • At least 3 years of experience in managing IT projects, including experience with software development, IT infrastructure, systems integration, or cybersecurity projects.
  • Experience working in a regulated environment, such as healthcare, finance, or government, is highly desirable.
  • Proven track record of delivering complex projects on time, within budget, and meeting quality standards.
