Job Summary:

The Customer Service Representative is responsible for answering inbound calls from external and internal customers, assessing their needs, and walking them through effective solutions to their questions. They will also be managing orders, quotations, returns, credits, and invoices, ensuring a smooth purchasing experience. The ideal candidate possesses excellent communication skills, customer empathy, technical abilities, and a passion for customers' satisfaction. They should be detail-oriented, quick learner, work collaboratively in a team environment and have knowledge of office systems and office procedures.

Principal Duties and Responsibilities:

  • Respond to customer inquiries and resolve their issues via email, phone, or chat; review files, records, and other documents to obtain information and respond to requests promptly.
  • Obtain customers' names, addresses, and billing information, product skus, and specifications of items to be purchased, and enter this information in our ERP system.
  • Coordinate billing with customers to request/receive purchase orders.
  • Answer pricing and product inquiries and provide product information and recommendations to customers.
  • Collaborate with other departments, such as accounting, shipping, distribution centers, to ensure timely and accurate order fulfillment.
  • Identify and escalate complex issues to senior representatives or managers.
  • Stay up to date with product knowledge and training to provide excellent customer service.
  • Continuously improve customer service processes and procedures.

Expected Areas of Competence (i.e., knowledge, skills, and abilities)

  • Detail-oriented and accurate data entry
  • Excellent written communication and telephone skills and the ability to handle multiple daily telephone calls in a positive manner
  • Ability to develop and maintain positive relationship with customers, sales reps and team members
  • Strong problem-solving and decision-making abilities
  • Ability to handle high volume of customer interactions and prioritize tasks
  • Effective working in teams to achieve the department's objectives

Education/Experience Requirements

  • A minimum of a High School Diploma or equivalent is required
  • A minimum of 2 years of Customer Service experience is required
