The position plays a critical role in constructing the environment for the ultimate member experience. Reporting to the Manager of Member Experience, this position is responsible for managing all aspects of the planning and execution of event logistics. This position requires 30- 50% travel. Multiple positions from Coordinator-Senior Associate level are available. The role leveling of candidates will be determined through the interview process.

The ideal individual will have a strong passion for world-class quality and attention to detail, and thrive in a fast-paced, dynamic environment.

Responsibilities include but are not limited to:

  • Participate in the logistical planning, coordination and execution of all World 50 Group core programs including summits, roundtables, and special programs.
  • 9 - 12 in person programs per year and additional programs and virtual programs as needed, size and scale of events may vary
  • Create unique and exclusive experiences consistent with the World 50 Group brand
  • Work closely with member services team to ensure master lists are created and updated in a timely manner
  • Assist in developing and managing event related-collateral (e.g. welcome card, menu, maps, etc.)
  • Contribute to tracking summit supply needs and coordinating with member services team
  • Work closely with Producers to ensure best overall experience for members
  • Develop and manage logistics timeline for each summit
  • Coordinate lodging and transportation as needed
  • Travel to Gatherings (as needed) to lead onsite logistics, may be required to attend additional gatherings in a support role
  • Tracking and Reporting costs vs budgets
  • Conduct site visits and research as needed to secure locations for gatherings
  • Maintain vendor relationships and related contracts
  • Take initiative in building productive Member Experience team by leading new projects and encouraging others
  • Work closely with Finance and Accounting Department
  • AMEX/VISA coding in Expensify
  • Communication regarding finances across departments as required
  • Reviewing Salesforce Dashboards and logging all contracts and invoices
  • Working on Salesforce Projects with Salesforce and Digital Team and helping to move projects forward.
  • Observing, compiling and communicating data as it impacts gathering decision making
  • Assist with Member Experience initiatives to build a better and more productive team such as but not limited to:
  • Datapine and the collection and input of data from World 50 Membership Virtual Programs
  • Salesforce and the process of updating Member Experience related items such as creating new accounts, updating vendor pages, and general tasks

Requirements

  • Solid computer and analytical skills
  • Strength in managing budgets, event plans and logistics for multiple gatherings simultaneously

Education/Experience

  • Four-year degree in Hospitality, Communications or related field
  • 2-6 years of experience in events logistics and planning
  • Experience working with luxury brands, corporate boards or c-suite Executives
  • Experience in catering a plus

Work Environment and Physical Demands

This role requires lifting and moving equipment weighing 30 lbs or greater. This role will involve regular walking (2 Hours) and standing (12 Hours) for extended periods when working seasonal off-site events.
