Position Description

The position plays a critical role in constructing the environment (both live and virtual) for the ultimate member experience at World 50 events. Reporting to the Member Experience Managing Director, this position is responsible for assisting in the planning and execution of event logistics.

The ideal individual will have a strong curiosity for world-class quality and attention to detail, and thrive in a fast-paced, dynamic environment.

Responsibilities

Assist with the logistical planning, coordination and execution of virtual and in person gatherings

  • Develop and manage logistics timeline for each summit
  • Work closely with member services team to ensure master lists are created and updated in a timely manner
  • Assist in developing and managing event related-collateral (e.g. welcome card, menu, maps, event plans, etc)
  • Will assist with packing and unpacking supplies for gatherings, working with entire team to keep a tidy storage room
  • Coordinate lodging and transportation as needed
  • Travel to summits and W50 special programs (as needed), and assist with onsite logistics
  • Will be required to input costs and invoices into Salesforce promptly and accurately as well as monitoring reporting and spend related to specific codes.
  • Conduct site visits as needed to secure locations for gatherings
  • Assist with maintaining vendor relationships and related contracts
  • Attends all necessary meetings
  • Keep up with new restaurants, hotels, and unique experiences globally, and contribute to the Global Event team's portfolio

Assist with Member Experience initiatives that help to build a better and more productive team such as but not limited to:

  • The collection and input of data from research and gatherings
  • Constantly learning new capabilities of data input and management, as well as reporting in Salesforce

Requirements

  • A minimum of 2 years full time experience working in events
  • Bachelor's degree in Event Management, Hospitality or related field
  • A natural inclination to service with a white glove approach and a high attention to detail
  • Strong ability to multitask
  • Excellent interpersonal skills, able to work flexibly with a variety of internal stakeholders
  • Proactivity and curiosity when it comes to delivering best-in-class events - constantly thinking 'how can we make it better?'

Work Environment and Physical Demands

This role requires the associate to stand for 10+ hours a day while running an event, climbing stairs as needed, bending and lifting as needed onsite. You will also be required to lift and carry items weighing up to 40 lbs. This position requires 20- 30% travel, approximately 20 - 50 days per year.
