Regional Maintenance Manager (RMM) | Windsor Communities – Austin, TX
DESCRIPTION:
One of the most successful private companies in the multifamily industry is seeking a Regional Maintenance Manager (RMM) for the Austin portfolio. The position will be based in Austin and have responsibility for the successful execution of Service and Maintenance operations at 11 properties that are in and adjacent to the Downtown area. The properties are mix of low-, mid-, and high-rise, and vary by age.
The company is a fully vertically integrated developer, owner and manager of Class A+, A and B+ market-rate residential rental communities in major markets across 13 states, with total portfolio of approximately 48,000 units. The company has an active development and acquisition pipeline, currently 4,000 units in four states.

RESPONSIBILITIES: include the following. Other duties may be assigned.
On-Call:
- Available 24/7 to respond to after-hours emergencies.
- Provide after-hours guidance and technical assistance to site staff via telephone.
- Travel to properties on short notice to respond to emergency situations.
Safety:
- Act as safety ambassador and promote a strong safety culture throughout the region.
- Lead and participate in monthly safety education meetings, regionally or at property level.
- Ensure all team members successfully complete required training.
- Monitor the compliance of safe work practices and use of PPE in the field – use positive reinforcement to correct behavior.
- Activate and coordinate emergency response teams in the event of natural disasters or catastrophic loss events.
Technical Skills:
- Understand and be able to use and interpret construction drawings, including architectural, MEP, and construction manuals.
- Possess base knowledge of mid-rise and high-rise construction, including super structure and exterior envelope systems.
- Possess base knowledge of building systems, including elevators, HVAC, domestic hot water, fire alarm and fire sprinkler.
- Understand emerging technology as it relates to system replacement and incorporate new technology and sustainability into new systems.
- Identify building defects, and propose suitable solutions/options, and approximation of costs.
- Create detailed scopes of work for CapEx projects, manage competitive bidding process, identify qualified contractors, and manage project through to successful completion.
- Supervise implementation of special projects by site teams.
- Create reports and analyze property performance metrics related to work order completion, turnover, and preventive maintenance.
- Provide technical assistance on maintenance-related items when needed.
- Complete Maintenance Operation Reviews (MORs) twice per year.
- Assist with various groups on asset disposition plans.
Procurement & Contracting:
- Work in conjunction with Procurement department to optimize negotiated relationships; ensure that site teams comply to the greatest extent.
- Advise Procurement department of new products and services that will have beneficial impact in region, and potentially across all regions.
- Negotiate outside vendor contracts for region, such as cleaning, landscaping, painting, and flooring.
- Monitor quality of services and correct work quality of vendors where needed.
- Expand the existing pool of contractors and third-party service providers.
Communication:
- Describe problematic physical conditions to non-technical team members.
- Speak on an equal technical level with contractors and design professionals when discussing existing conditions and proposed designs or solutions.
- Communicate professionally and respectfully with all company associates, both in writing and conversation.
- Communicate frequently with SVP Maintenance, Regional S/VP and Divisional Managers to keep them apprised of portfolio status.
Supervisory & Team Building:
- Coach and mentor Service Managers, provide support on technical issues, and help them develop professionally and personally.
- Encourage participation in ongoing education, and industry seminars and conferences.
- Working with the Regional team, participate in hiring personnel; administer maintenance tests, make recommendations on promotions and salary adjustments, and relocation of maintenance personnel.
- Present ideas during formal and informal ‘best practice’ planning sessions focused on improving operational efficiency.
- Support Senior Vice President of Engineering with implementation of company maintenance initiatives
Sustainability & Energy Conservation:
- Identify potential opportunities to reduce energy consumption for systems serving common areas and units, regardless of responsibility for utility cost.
- Identify practices that support reduced maintenance cost and burden through use of alternative materials, systems or supplies.
Performance Management:
- Review data and key performance indicators (KPIs), such as work order and make ready performance, and expense management in Microsoft BI format.
- Be able to understand the data and use data points to ask questions/research root cause, identify gaps in process or practices, and convey requirements to the on-site teams.
- Use the KPIs to ensure that each property is performing to company standards.
Financial
- Participates in the annual budget process for each property, including costs for MRO and 7-year projection of capital needs.
- Perform quarterly review of expenses related to maintenance, capital projects, and third-party contracted services, update plans and projections accordingly.
- Review and approve purchase orders (POs), review financial scoreboards, and ensure that contracts are properly executed.
Travel:
- Travel is only anticipated within the group of designated properties.
- Travel to properties based on specific needs/projects underway and as part of normal rotation to inspect/observe conditions and thoroughness/quality of operations.
- May be called on to assist with due diligence/disposition efforts outside of designated region.
Other Duties:
- Perform other duties, responsibilities and special projects as required.
EDUCATION AND EXPERIENCE
- Bachelor's degree from four-year College or University or 7-10 years related experience and/or training; or equivalent combination of education and experience.
- Holds minimum of OSHA 10 certification, or obtain within 90 days of hire.
- Experience with Yardi or other core property management software.
- Demonstrates exceptional problem-solving skills and creativity.
