Your New Role:

We are seeking a driven team player with strong communication skills and an enthusiasm for collaboration. Must be able to anticipate needs, problem solve and identify solutions. In this role, it's essential to remain agile. You must be able to multitask and prioritize requests based on business needs. The ideal candidate will think practically and be solution-oriented with demonstrated efficiency and the ability to maintain confidentiality.

Your Role Accountabilities

  • Provide administrative support to the multiple VPs across the Mexico business.
  • Calendar management, including scheduling both in-person and virtual meetings across multiple departments and time zones.
  • Provide department support including preparation of correspondence, file maintenance, scanning, answering calls/emails.
  • Coordinate travel arrangements, reconciling expenses.
  • Arrange office events and offsite events, arranging catering/meals invitations, and other details. (Nota con respecto a la organización de eventos en la oficina o inclsuve fuera )
  • When required, attend department meetings, take minutes, distribute meeting minutes, and follow up on action items, disseminating information if necessary.
  • Create necessary purchase orders. Collaborate with internal partners to ensure prompt payment and that invoices are coded to the correct budget.
  • Welcome and coordinate plans for visiting executives and clients. (El trabajo de asesorar, y encargarse de que visitas tengan toda la info o apoyo que necesiten)
  • Assist with team projects and events as needed.

Qualifications & Experience

  • Minimum of 5 years as a corporate administrative assistant or equivalent.
  • Advanced proficiency in English for professional and everyday communications
  • Experience working in a hybrid work environment supporting multiple locations and executives.
  • Proficient with Microsoft Suite, Google Workspace, Zoom, DocuSign and Adobe.
  • Active listening skills, ability to take direction and complete tasks accurately, efficiently and with little supervision.
  • Demonstrates high-level of professionalism, organization skills, accountability, and confidentiality.
  • Strong verbal and written communication skills. Ability to coordinate communications externally and internally across multiple departments and at all levels.
  • Ability to multi-task effectively and efficiently and prioritize various requests and projects appropriately in a fast-paced environment.
  • Nice to have Portuguese
