Your New Role...

The Beeline Sports Production Co-ordinator provides support to our UK Sports production teams, utilising WBD's global external workforce onboarding and payment system - Beeline.

The Sports Production Coordinator will support our large freelance workforce with their financial claims and our Professional and Managed Services Partners with onboarding, purchase orders and WBD system navigation. You'll be responsible for ensuring each freelance worker submits their claims correctly and in line with the WBD finance structure, and will amend, approve and log submitted worker claims in our crewing systems (Provys/MediaPulse/tracking documents), as well as providing approval reports and actual spend data to our production management teams. You'll also work in partnership with our sports production, crew booking, and flex talent teams to ensure workers booked across our broadcasts are able to deliver to the highest standard.

This role may require occasional weekend and evening work as large productions dictate, but predominantly standard office hours apply. Flexibility is key and from time to time there may be a requirement to work from different sites within the WBD portfolio. The role is based out of our west London offices (Chiswick and Stockley Park).

Your Role Accountabilities...

  • Ensure all workers booked by WBD sports/operations teams have the correct finance details logged in the WBD payment system to claim against.
  • Assisting Production teams in ensuring their workers are onboarded correctly and in line with IR35 and WBD Sports policy.
  • Support our freelance population with timesheet and expense claims, ensuring all workers get paid correctly in the correct timeframe.
  • Updating WBD's central booking tool with the approved payment details across all timesheet and expense claims.
  • Work closely with parallel WBD teams to ensure all workers booked have access to the required IT and systems to deliver their roles.
  • Support month-end consolidation, ensuring all claims are made, logged and reported back to relevant hiring and production managers and chase down any timesheets not submitted.
  • Responsible for financial reallocation where appropriate.
  • Raise Professional Service and Managed Service Purchase Orders and logging details across WBD systems.
  • Attend weekly crewing meetings to ensure information is proactively captured and correct across all teams.
  • Support internal and external contributors to navigate corporate systems, to ensure smooth workflows on site.

Qualifications & Experience...

  • Strong organisational skills, attention to detail and administration experience required.
  • Understand of live production workflows and the roles required to deliver a production is highly beneficial.
  • Understand scheduling systems and rostering restrictions.
  • Experience working across multiple productions simultaneously.
  • Excellent verbal and written communication skills.
  • Strong team player with the ability to motivate, develop and inspire others with solid interpersonal skills.
  • Self-motivated and strong problem-solving approach required.
  • Proactive self-starter, with a drive for enhancing workflows and processes.
  • Ability to work well under pressure and to strict deadlines.
  • Ability to work with minimum supervision and use own initiative with confidence.
  • An understanding of IR35 is preferred but not essential.

Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement where this is essential to business needs and upon reasonable notice to you.
