Here’s where you come in.

  • Work with cross functional teams to assign resources while balancing the assurance of quality work, and tracking / minimizing unallocated labor.
  • Work with cross functional teams to anticipate and forecast future resourcing needs and capacity.
  • Execute effective resource allocation plans that facilitate sharing of resources and cater to regional and local business needs accordingly.
  • Understand talent skill set requirements across each department (Creative, Media, Strategy, Insights & Analytics, Client Partnership, Project Management, Influencer Management, and Production teams) across nuanced local markets; actively engage with department heads to ensure clarity on current and future resource needs.
  • Understand company business objectives, financial KPIs, and planned trajectory for each account, to better assess scopes and burn data to make informed resource recommendations and decisions.
  • Utilize project management system such as WorkFront or Clickup to help manage resource planning and staffing needs while assisting with system implementation and upkeep of data integrity
  • Create and improve processes that allow the company to have as much foresight as possible into future resource needs and management of them
  • Create a process that allows much visibility and foresight as possible into future resource needs
  • Support business in understanding new business requirements and demands.  Regularly review client demand, new business and resource supply.  Work with cross functional teams to anticipate and forecast future resourcing needs and capacity.   
  • Partner closely with business operations to lay the groundwork for a future-proofed resource management methodology at VaynerMedia.
  • Work with the HR team to understand the skill sets and interests of each individual and factor them into staffing decisions.
  • Coordinate with the recruiting team to source outside hires and freelance support.
  • Analyze scoping data from Client Partnership, Project Management and Finance teams to make informed decisions revolving around resource allocation
  • Provide continued recommendations on how agency staffing structure could evolve as industry trends change and the company continues to grow
  • Make recommendations to department heads for full-time or freelance staffing needs based on scopes and resource forecasts
  • Support business leads and department heads to drive commercials KPIs by always understanding financial forecasts of accounts and impact of hiring decisions
  • Support department heads to minimize unallocated labor by tracking billability and making recommendations for staffing accordingly
  • Serve as main point of contact and manage logistics for all freelance staff bookings, contracts and onboarding
  • Own and update in house and freelance tracker to ensure all relevant stakeholders know who is coming in and when employees leave
  • Manage annual office freelance budget.

Your Experience

  • Above 4 years experience managing cross-departmental resources at a creative agency, with a big focus on creative resourcing.
  • Highly collaborative, positive, and open to feedback
  • In-depth understanding of integrated global creative & media agency processes and best practices
  • Experience working with cross-functional teams and senior leadership to make complex staffing decisions
  • Ability to make staff plans, schedules, cost management plans, and reports
  • Ability to evaluate portfolios for both skills and subjective quality
  • A strong black-book of freelancers that you’ve previously worked with, and ability to vet new ones
  • Ability to make and manage staff plans, schedules, cost management plans and reports
  • Strong interpersonal management skills with the ability to build rapport and develop trust with peers and senior leaders
