The USDS Workplace Services team is looking for a Workplace Operations Manager to lead our Office Operations team in our upcoming San Jose office. This role will partner closely with Real Estate, Human Resources, EHS, Procurement, Finance, Security, IT and other key business leaders to provide workplace services and programs that exemplifies our culture and values. You will ensure our corporate offices run smoothly and consistently, as well as support all onsite corporate events. You are the heartbeat of our organization and ensure TikTok's culture and values shine through in every aspect of our corporate office environments. In order to enhance collaboration and cross-functional partnerships, among other things, at this time, our organization follows an on-site work schedule that requires employees to work in the office 5 days a week, or as directed by their manager/department. We regularly review our hybrid work model, and the specific requirements may change at any time.

The Workplace Operations Manager is the face of TikTok USDS, helping to deliver exceptional, safe, and top-notch employee immersion that brings the TikTok brand to life. The Workplace Operations Manager serves as a daily resource to employees, clients and business partners by effectively managing workplace needs and acting as an enthusiastic brand ambassador. The ideal candidate has a passion for creating best-in-class experiences and takes pride in owning operational initiatives.

Responsibilities
Workplace Management
- Responsible for building operations at 194,500 sq ft office in San Jose, California
- Create and maintain the overall workplace services strategy and operating model, establishing the necessary processes and procedures to ensure effective and efficient day-to-day operations for the largest office in our portfolio
- Ensure guests are properly approved by the security team in a timely manner
- Develop systems to organize workflow to ensure quality, precision, and timeliness of outputs.
- Partner and develop strong relationships with all key business partners including local Business leaders, IT, HRBPs, Finance, and Procurement.
- Help identify gaps in efficiencies to promote future growth of the organization and improve our collaboration with key vendors and internal business partners.
- Collaborate with outsourced shipping & receiving operations contractors and execute local mail operations, and provide coverage and support as needed.
- Ensure we have the best in class suppliers for our offices and effectively implement vendor management best practices.

Facilities Management
- Perform daily walkthroughs to identify necessary improvements, repairs and enhancements and work with integrated facility management (IFM) team to fulfill requests
- Prioritize building maintenance, communicating any and all maintenance issues to our internal and external partners in a timely and efficient manner.
- Maintain a preventative maintenance log for all facility related matters.
- Monitor employee compliance of all physical security controls for the building.
- Assist Workplace Experience Manager with reporting on janitorial services team output via IFM vendor.
- Provide support for local real estate projects, upcoming office moves, setting up new services and being liaison between the internal and external stakeholders.
- Support the planning and organizing space moves and neighborhood mapping.

Culture & Engagement
- Assist in office communications, as needed, for social events and employee announcements in a manner that is consistent with TikTok values.
- Partner with the OCEB teams to support the logistics, planning and all facility related items for internal events that promote employee engagement, and create a sense of community.

Qualifications

Minimum Qualifications
- 5+ years experience in facilities, hospitality or business operations.
- Self starter; requires minimal supervision, is proactive, and can report to a remote manager.
- Proficient in maintaining cooperative working relationships inside and outside of the organization.
- Must possess exceptional organizational and project management skills.
- Must have a great can do attitude and willingness to complete the job while Championing Diversity, Equity + Inclusion efforts across everything we do.
- Ability to work onsite at the assigned campus Monday through Friday during regular business hours.

Preferred Qualifications
- Facilities or Building Operations & Management background is a plus.

Job Information

[For Pay Transparency] Compensation Description (annually)

The base salary range for this position in the selected city is $84000 - $110000 annually.

Compensation may vary outside of this range depending on a number of factors, including a candidate's qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.

Benefits may vary depending on the nature of employment and the country work location. Employees have day one access to medical, dental, and vision insurance, a 401(k) savings plan with company match, paid parental leave, short-term and long-term disability coverage, life insurance, wellbeing benefits, among others. Employees also receive 10 paid holidays per year, 10 paid sick days per year and 17 days of Paid Personal Time (prorated upon hire with increasing accruals by tenure).
