Team Intro
The USDS Workplace Services team is looking for a Workplace Operations Manager to lead our Office Operations team in our upcoming San Jose office. This role will partner closely with Real Estate, Human Resources, EHS, Procurement, Finance, Security, IT and other key business leaders to provide workplace services and programs that exemplifies our culture and values. You will ensure our corporate offices run smoothly and consistently, as well as support all onsite corporate events. You are the heartbeat of our organization and ensure TikTok's culture and values shine through in every aspect of our corporate office environments. This is the role for you if you are passionate about cross-functional collaboration, working globally, and organizing important information.
In order to enhance collaboration and cross-functional partnerships, among other things, at this time, our organization follows an on-site work schedule that requires employees to work in the office 5 days a week, or as directed by their manager/department. We regularly review our hybrid work model, and the specific requirements may change at any time.
Responsibilities
- Responsible for building operations at 194,500 sq ft office in San Jose, California & Mountain View, CA (in the interim)
- Create and maintain the overall workplace services strategy and operating model, establishing the necessary processes and procedures to ensure effective and efficient day-to-day operations for the largest office in our portfolio
- Lead the Workplace Operations team consisting of workplace coordinators, workplace assistants, and other third party associate and BPO resources, ensuring the successful execution of each team member's core responsibilities, and drive continuous operational improvement in partnership with executive site sponsors and site leadership
- Manage and assist with the development of annual operating and capital budgets, financial variance tracking, and operations expenses management. Work closely with the Finance team to create and effectively manage annual site budgets based upon specific site needs and workforce projections
- Partner with the Real Estate team to seamlessly deliver new office spaces, expansions and other facilities projects, including furniture procurement, facility installs and move management
- Oversight and management of site office administration, IFM service delivery, Workplace Experience, and Food and Beverage programs within the agreed SLAs and compliance standards
- Maintain a safe and superb work environment by establishing, following, and enforcing standards and procedures; ensure compliance with legal regulations
- Partner with cross functional team members to maintain an understanding of USDS's strategy and growth projections and translate business needs into future workplace requirements
- Own, lead, and execute all corporate in-office and off-site events
Qualifications
Minimum Qualifications
- 5+ years experience in office operations and/or facilities management, including experience in budget management, contract negotiations, vendor relationship management, and event planning
- Demonstrated experience leading and developing teams, including hiring, performance management, and coaching/mentoring
- Knowledge of OSHA, EHS, FDA, and other standards and regional regulations
- Proactive customer and client service mindset with high service standards
- Strong operations and process orientation and organizational skills; passion for continuous improvement with excellent attention to detail, solid judgment capabilities, and a creative problem solver and decision maker
- A thought leader with a passion for building communities and making workplaces operate seamlessly while working quickly and efficiently against strict deadlines
- Must have a team player attitude and be willing to collaborate with others - possessing equally excellent written and verbal communication skills, and the ability to work with internal and external stakeholders

Job Information
[For Pay Transparency] Compensation Description (annually)
The base salary range for this position in the selected city is $84000 - $132000 annually.
Compensation may vary outside of this range depending on a number of factors, including a candidate's qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.
Benefits may vary depending on the nature of employment and the country work location. Employees have day one access to medical, dental, and vision insurance, a 401(k) savings plan with company match, paid parental leave, short-term and long-term disability coverage, life insurance, wellbeing benefits, among others. Employees also receive 10 paid holidays per year, 10 paid sick days per year and 17 days of Paid Personal Time (prorated upon hire with increasing accruals by tenure).
