Overview of the Role
The Core responsibility of this role is to manage the administrative assistants’ team in order to provide professional support that facilitates operational efficiency, collaboration and to ensure that colleagues receive the best service.
Additional responsibilities are supporting a fund team in every aspect of its day to day running. This is an all-encompassing secretarial and administrative role. The position will report to the Office Manager.
Main Duties and Responsibilities
Supervision of the administrative assistants’ team and the receptionist
Ensure adequate staffing level to cover for absence and peak in workload
Provide optimized administrative processes that reflect audit requirements as well as an efficient working environment in liaison with the office manager
Support the implementation of new software, new company processes, etc.
Manage annual performance evaluations and goal setting, ensuring that effective feedback is sought and given
Ensure that team is mentored and developed appropriately, organise regular team meetings, lessons learned sessions, provide training sessions, etc.
Liaising with external service providers and business partners, drafting own correspondence, answer requests of service providers, internal tracking of investment offers
Diary Management – Coordinate, organise and facilitate a high volume of meetings, conferences, investor days (including international conference calls/video conference calls/WebEx-meetings) as well as intelligent and reliable travel arrangements with complex itineraries in liaison with other offices, preparing of travel expenses
Ensuring all deadlines are met and that managers are fully prepared for meetings (assisting with the preparation of presentations
Translating of reports and presentations German/English
Administrative tasks like updating and maintaining client and property management database, preparing and keeping track of Fund invoices, responsible and reliable handling of bank guarantees/rental security deposits, preparing NDA’s/LOI’s according to requirements
Further administrative tasks, minor projects, occasional event organisation
Technical Skills & Qualifications Required

Experience as a team leader or a similar role, preferably in an international environment
Very good knowledge of MS Office (Outlook, Excel, PowerPoint, Word, One Note), Adobe Standard, DocuSign
Very good German (incl. orthography) and English language skills
Knowledge of virtual call systems (Zoom, WebEx, MS Teams)
Knowledge of German travel expense laws and regulations appreciated
