Overview of the role:

This is a great opportunity for a switched-on administrative assistant perhaps with aspirations to become a PA, to join an award-winning fund manager company.

Main aspects of your role will be to support the investment team – arranging meetings, preparing documentation for meetings, photocopying/scanning etc. You will also deal with telephone enquiries and emails and generally make yourself helpful!  A positive, helpful and attitude is key to this role. 

Key roles & responsibilities

  • Answer main phone line and providing information to callers (enquiries), redirecting calls, and forwarding messages where needed
  • Front of house duties - Welcoming guests and preparing tea/coffee, ensuring font of house is tidy as all times - this will not be required once we move to 201 Bishopsgate
  • Managing the company’s incoming post to Angel Court and Tower 42. Arranging mail to be redirected, signed, returned, or stored safely
  • Monitoring the levels of the office attendance
  • Order and collect, or courier pitch books at the request all team members
  • Order and set up lunches
  • Register all external guests with ground floor reception team
  • Check stock levels in the office and order additional items (kitchen, printer room, stationary cupboard, other additional items we might need)
  • Liaise with the postroom/courier team for outgoing documents and collection of documents for various locations
  • Liaise with building facilities for faults and repairs
  • Coordinate various signatories on DocuSign or wet ink as required
  • Diary management for the Investment Management team and ensuring meeting rooms are allocated for external meetings (Liaison with concierge meeting room team)
  • and booking notary appointments for directors
  • Data capture in salesforce
  • Booking travel for team and researching covid rules/booking tests where applicable
  • Minuting meeting where applicable
  • Assisting with various ad hoc admin scanning, editing presentations
  • Maintaining attendance logs from biweekly Friday lunch sessions and all other trainings
  • Organising department events
  • Reviewing documents require for marketing

Qualifications and experience required

  • Ideally you will have 2-3 years’ experience in a similar role.
  • Keen to use your initiative.
  • Competent MS Office skills needed in Outlook, Word, Excel and Power Point.
