Under moderate supervision, job provides an opportunity to play a key role in ensuring the success of daily operations for employees of all levels.
Key Responsibilities and Duties
- Maintains office inventory, facilitates supply orders and completes other general office duties.
- Supports employees with various tasks related to onboarding, appointment setting and travel arrangements.
- Provides meeting assistance through scheduling, presentation preparation and diligent note taking.
- Handles various office tasks related to communication and organization.

Key responsibilities will include:
Company governance, branch oversight and operations
- Assist with the oversight and monitoring of the product distribution activities and the preparation of reports,
- Monitor sales and marketing activities performed by the different branches of the Company
- Assist with the monitoring and review of financial statements, accounting and tax reporting as well as regulatory reporting,
- Help resolve operational issues encountered by colleagues across the Group,
- Maintain a list of the Company’s suppliers,
- Ensure internal, regulatory and statutory fillings are made in timely manner,
- Assist with ensuring documentation and records concerning the Company’s clients is maintained,
- Review and record invoices as required,
Business support
- Develops and implements systems and processes to establish and maintain the Company’s records,
- Provide support to the team in the preparation of reports and presentations,
- Ensure policies and procedures are reviewed on time,
- Seek ways of improving the way the company operates,
- Performing gap analyses and impact assessments,
- Organise calls and meetings (incl. production of minutes) when required,
- Build effective and open working relationships with colleagues across the Group,
- Assists with the development and implementation of policies and procedures to ensure compliance with regulation and efficiency,
- Support the Authorised Managers where required,
- Coordinate the follow-up of action points,
- Assist with ad hoc projects,
Technical Skills & Experience Required
- At least 1 year experience in the investment fund industry (e.g. with a management company, fund administrator, transfer agent, custodian, depositary, etc.) or with anion, audit firm is required,
- Experienced user of Microsoft Office applications, particularly Excel and PowerPoint,
- Strong communication, reporting and presentation skills,
- Fluent in English (oral and written) - another European language is an advantage,
