Reuters is seeking experienced Editorial Operations Administrator for the newsroom operations to help handle the newsrooms operations in New Delhi.

The operations individual will have to ensure a smooth handling of all local admin tasks working closely with the bureau chief and regional GM's on admin support.

About the Role:

You're a fit for the role of Editorial Operations Administrator if your background includes:

  • Providing optimal support to editorial management in South Asia and their teams with bureau administration, procurement, transport support, freelancer management etc.
  • Ensuring smooth and prompt handling of all newsroom-related tasks, working closely with the bureau chief and regional general managers on admin support.
  • Travel Arrangements - visa application processes for applications in India and assistance to those visiting India from other locations; coordination with the Ministry of External Affairs and other government agencies.
  • Maintaining organised filing system, both digital and physical (where applicable originals), to ensure easy retrieval of documents and compliance with local legislation.
  • Support to senior staff to manage their calendars and submission of expenses.
  • Liaison with facilities management, local authorities, HR and IT teams, and managing communications to the bureau on holidays, cafe backups
  • Onboarding and offboarding support, preparation of the weekend and shift rota of all the relevant teams.
  • Relocation of employees moving to local news bureau or vice-versa.
  • Coordinating / assisting in relevant training / company events across the region.
  • Managing subscriptions (TV, mobile phones, news feeds) and memberships and sharing budget information with the regional administrator.
  • Taking ownership of securing safety gear and quarterly updates on a central database, with accurate entering and maintaining of data including tracking assets owned by the business unit (mobile phones, UPS, SIM cards etc.)
  • Providing support with setting up vendors such as service suppliers and freelancers, working closely with the Global Operations Team. Also working with vendors and internal sourcing department to manage procurement.
  • Following up with Accounts Payables department on payments to make sure invoices are paid within deadlines.
  • Liaising closely with the bureau drivers on the usage of the vehicles and monitoring fuel claims, renewal of insurance & emission tests in a timely fashion.

About You:

You're a fit for the role of Editorial Operations Administrator if your background includes:

  • Excellent organisational skills and experience in office administration, people management and problem-solving.
  • At least 2 years of experience in administration support to a newsroom (Remote assistance across the South Asia region would be a plus).
  • Very strong written and spoken English and at least one more language relevant to your region.
  • An ability and desire to manage and support a team across languages and geographies.
  • The ability to deliver under pressure and with great flexibility.
  • Solutions-oriented to meet the set objectives and goals.
