Job Responsibilities:
Provides secretarial and administrative support to the Maintenance Department. Maintains Maintenance personnel records, inventory records and preventative maintenance tracking. Ensures compliance with the Federal Hazardous Communication Act (MSDS) with Medical Services.

- Perform a variety of administrative, clerical and general office duties in support of Facilities Manager and the overall Maintenance department.
- Prepares, maintains and processes all invoices and purchase orders for the Maintenance Department.
- Coordinates all purchasing and ordering of Maintenance supplies and replacement parts for the Distribution Center, in addition to maintaining preventive maintenance logs
- Records and documents personnel changes for the Maintenance Department. Tracks attendance, vacations, reviews and other personnel data.
- Records inventory levels on replacement parts and Maintenance supplies on a personal computer.
- Uses company vehicle to make pick-ups.
- Participates in special projects as assigned.
- Coordinates with internal contacts of Operations Management and Maintenance team, in addition to external contacts of outside contractors and vendors.
Qualifications:
- Minimum formal education, if any, required to perform this job e.g., Bachelor's Degree in Accounting/Finance, Business, Law).High School Diploma or equivalent job experience.
- Proficiency using Microsoft Office, particularly Outlook and Power Point, Word and Excel, in addition to web-based administrative applications, Iris Software, Lotus Notes, Lotus 123, Paradox.
- 1-2 yrs. experience as an Executive/Administrative Assistant in a corporate environment is preferred with ability to operate a variety of office equipment, machines, scanners, and copiers
- Must have strong verbal and written communication skills coupled with a professional character
- Exceptionally organized with strong prioritization skills, detail-oriented, and ability to multi-task
- Quick learner, with a positive attitude, and ability to work well independently and within a team
- Trustworthy and dependable
- Ability to take direction from multiple sources with a variety of management styles

This position has a starting pay range of $21.00 - $25.40 per hour.
Actual starting pay is determined by a number of factors, including relevant skills, qualifications, and experience.
