The Admin Assistant supports the office wide administrative duties as well as the VP Head of the Hong Kong Buying Office. The incumbent is required to understand the business, coordinate with internal and external parties, maintaining workflow by refining standard operating procedures and achieving organizational goals.
Job Responsibilities:
- Provide general office administrative support such as ordering stationery, maintaining office supplies, business cards, managing mail services, processing expense claims and invoices
- Assist in the coordination and logistic support in office accommodation, renovation, maintenance
- Plan, organize and execute company events such as annual dinner, Christmas party, summer carnival, fun workshops
- Provide secretarial support to leaders in HKBO
- Schedule and coordinate internal/external meeting arrangements
- Coordinate and prepare meetings include materials and minutes
- Coordinate with internal and external parties proactively and independently
- Compile and extract data for presentations and reports
- Manage vendors and service providers' contracts
- Explore regional trade shows to attend
- Perform ad-hoc projects and tasks as assigned by supervisor
Job Requirements:
- Minimum 1 year of working experience in office administration
- Good command in written and spoken English
- Proficient in Microsoft Office
- Attention to detail and accuracy
- Good communication and interpersonal skills
- Can-do and willing to learn attitude
- Independent, Responsible, detail-minded and proactive
