Job Description

Purpose of the Job

Maintaining the quality process of picking and packing, correcting and/or supplementing errors and data. Provide support to the operational leads. Has the same experience as Material Handler and knowledge of the entire distribution process. Additional duties and capabilities/responsibilities are listed under "Job Content".

Job and Position Context

The EDC in Bleiswijk is the main European Distribution Center in Europe, shipping to customers on the European continent, Africa, and the Middle East. Inventory is received from manufacturing sites and suppliers from all over the world.

The EDC ships > 1mn orders per year out to customers and other ThermoFisher sites.

The company has over $50 million worth of inventory stored in more than 66,000 bin locations. The inventory is spread across different areas with varying temperatures, including ambient, cold room (+5C), frozen (-18C) walk-in areas, and -80C and -170C freezer chests.

Stock is stored as item numbers or SKUs (Stock Keeping Units), and most SKUs are also lot controlled. Both SKU and lot number need to be handled and recorded throughout the warehouse processes.

There are 4 separate ERP systems in which stock and inbound & outbound orders are registered: SAP, Arrow, Trax and E1 with WMS. This spread of sophisticated processes over the different systems makes inventory management, cycle counting, and all administration of orders overly complicated and exciting.

Despite this inventory accuracy is kept over 97.5%, and shipping accuracy is over 99.7%. These accuracies are critical, since customers' research can depend on getting the correct SKU/Lot delivered consistently throughout their projects.

All employees at the EDC are required to perform their tasks in accordance with the EDC QMS, and to participate in several EH&S, PPI, and Lean activities:

  • Reporting potentially hazardous situations in the reporting tool
  • Daily Tier meeting with their teams to discuss yesterday's results and planning for today
  • Participate in 5S initiatives and checks to keep warehouse and offices organized and efficient.

Job Content

Activities: Key Areas of accountability/responsibility;

  • Ensure product accuracy by cross-referencing pick slips, oLPNs, tasks, and digital order information to verify items, lots, and SKUs.
  • Collaborate with other departments to assess and solve errors, supporting projects and PPI initiatives.
  • Performing an investigation by starting a root case analysis and initiating following up on the result of that analysis.
  • Generating overviews and determining the datasets of delivered quality in order to improve and to adjust the process flow.
  • Advising to make different choices to improve the picking process and make time more efficient.
  • Complete tasks process as taught by leads or based on personal assessment of workflow.
  • Reconcile the ledger using Arrow, E1/SAP, and WMS. Input the data into SmartSheet and use Power Bi to generate an overview showing line counts and picking errors.
  • Providing a Power Bi overview in to give the leads an overview of the performance
  • Preparation of an overview in PowerPoint of the mistakes and quantity of picked lines at order start to review the performance
  • Performing the tasks of the instruction handled in the Quality Management System in alignment with the Standard Operating Procedure (SOP).
  • Responsible for writing or rewriting of the Outbound Support SOPs and upload the documents in QDMS for review by the lead.
  • Collaborating closely with POS and OM, investigating and resolving issues related to White Glove orders.
  • Demonstrating dependability, safety consciousness, productivity, and quality at a high-performance standard and maintaining flexibility to perform multiple warehouse functions as needed.
  • Use your technical experience to train new colleagues and advise material handlers in the picking process.
  • Acting as a WMS/System Super User to train and provide technical guidance for pickers and packers.
  • Use Manhattan or IBM Cognos software to investigate and solve issues at product locations, either independently or with support from POS or Inbound, to ensure accurate stock levels.
  • Advising leads about operational status, disruptions, and delays in outbound process. Taking corrective actions to prevent missed shipments.
  • Resolve incorrect orders by entering data from packing notifications into Smartsheet to address quality issues at Outbound.
  • Communicating to Inbound, Stock Management Team (SMT) or POS notifications when the issues are resolved to complete the action.
  • Registering and processing Scrap which is indicated by packing or picking in order to for SMT to handle the Scrap.
  • Handling customer complaints by starting the investigation of the various databases for the cause of the complaint to improve the outbound processes.
  • Providing broken scanners with accompanying papers for IT department to manage the stock of spare scanners WMS/E1/SAP and Arrow.
  • Tracking log details or requests for scanners (E1/SAP and WMS) and Arrow (Leanlift) and Manhattan (WMS) to monitor the availability of scanners.
  • Moving damaged items to the appointed location in consultation with the Quality department to assess the products.
  • Responsible for moving damaged articles using the scanner in the system in order for the quality department to review.
  • Responsible to adjust after consultation with POS for Large Order, Dangerous Goods (DG) or Distributors to pick the products and deliver it to packing offline.
  • Investigating and solving dedicated locations for the adjustment cart to assess problems indicated by picking and transfer to POS if applicable.
  • Track order volume and assist in prioritizing tasks to ensure timely shipment of High-Priority and Special orders by delaying low-priority ones.
  • Give a summary of open orders and expected volume to meet shipment deadlines.
  • Initiating new optimalisation opportunities following the Practical Process Improvements (PPI) principles to enhance the Outbound quality and efficiency
  • Providing and requesting feedback to Order Management to meet customer expectations and make sure that outbound process is up to date.
  • Print, check, sort, stamp, prioritize, register, and hand over picking tickets from SAP, E1, and WMS systems to ensure timely delivery to the Picking department.
  • Using knowledge about different systems (E1, WMS, SAP) and customer requirements what is necessary to maintain high quality handlings (Take TS-line in account, day of the week, Holiday schedules, delivery times, storage and pack condition, order volume, priority of the order) to ensure appropriate handling and to avoid negative customer impact
  • Using different tools (Excel, MS Access, scanners, colored labels, MS Teams, stamps and special totes) to create High-priority flow and meet proper outbound handling.
  • Monitor the shared mailbox to ensure good communication between Orderstart and other departments. Provide updates on crucial orders to the responsible team or investigate the root cause of issues to ensure timely shipping.
  • Reporting issues with WMS by contacting IT, Order Management and providing an update to Outbound Leads to ensure the operation continuity
  • Assist outbound teams by monitoring open orders to ensure timely printing, collection, and handover to packing, avoiding missed shipments.
  • Makes sure that all Specials, Supply Centers, RFID, Cascade, No PREC, Regular, Export, Big orders, VIP, Consolidation and No consolidation, White Glove, High value, Amplitude, Weekly, Bi-Weekly, Monthly orders are marked according to the requirements and will follow proper Picking and Packing flow to deliver shipments to the customer in timely manner
  • Responsible for training new employees at Orderstart and being proficient in all handlings at Orderstart to maintain high quality handling of Outbound orders
  • Resolve and report IT issues related to Carriers or shipping process using Packing department information to ensure timely delivery to customers.
  • Performing manual Ship confirm in WMS for Shipments with systematic issues to update the current order status and to avoid Customer complaints
  • Request missing address details from Customer Care and update incorrect addresses in Trax to ensure smooth shipment processing and customer satisfaction.
  • Resolving issues with Cubing in WMS through performing Split/Combine oLPN action to ensure the efficiency of packing and shipping proces
  • Reporting incorrect dimensions or weight of the SKU`s and reviewing the correctness of Item parameters to keep Item ledger updated

Minimum of MBO-4 level either by education or by relevant work experience.

Ability to work with programs such as Trax, Excel, Word, WMS, SmartSheet, Power Bi and PowerPoint to maintain information.

Languages: English and at least basic knowledge of Dutch, both verbal and written.

Required Level of Experience

Minimum of 4 year of experience as a Material handler

Experienced in Material Handling on Picking & Packing Online.

Experienced in handling different systems such as WMS, TRAX, SAP, Excel, PowerBI.

A very good understanding of the main processes at Picking & Packing Online.

Languages: English verbal and written.

Knowledge of Picking & Packing SOP's.
