Location Specific Information:

This is an on-site role, working out of our Burlington office.

A Day in the Life:

1. Top Job Functions:

  • Entry, processing and reconciliation of standard and non-standard service and sales orders.
  • Data entry into multiple platforms - salesforce.com and Navision.
  • Review Service contracts, Terms and Conditions, delivery terms, booking, billing address and other details pertaining to orders.
  • Review Import/Export compliance criteria
  • Order and project issue coordination - Ensure that orders are accurate and complete. Any order deficiencies or issues are resolved together with the appropriate parties
  • Support Integration team - Creation/initiation of LOR (order received, initiate the process and book order)
  • Build and run reports on order/process quality and efficiency metrics

2. Customer communication

  • Work with purchasing agents on the customer side.
  • Assist with contacting customers regarding shipping dates/changes and special shipping arrangements for standard orders. Update orders to reflect new ship dates
  • Customer Allegiance - Own process for gathering CAS.
  • Lead survey templates and content
  • Ensure timely initiation of surveys
  • Provide regular reports to collaborators, such as sales, service, operations, and marketing.

3. Internal business processes

  • The validation process for integrated system asset data. Ensure information is gathered correctly, such as serial numbers, warranty start and expiration date, etc.
  • Coordinate NDAs and contract filing.
  • Ensure a backup exists for key daily functions.

4. Service contract support

  • Perform order entry for Service contracts.
  • Work together with relevant applications, service, and procurement team members to build and operate the system to acquire service contract pricing from third parties.
  • Build a service contract quote.
  • Work closely with the Field Service teams on T&M quotes
  • Act as a backup for teammates

Keys to Success

Education:

  • University Degree or College Diploma in administrative/office studies, optionally equivalent experience in administrative duties, preferably in a high-tech industry

Experience:

  • 3+ years of proven experience in a business setting, office based role, ideally
  • Experience with quality systems and ISO 9001 compliance is an asset
  • Experience with Salesforce and Navision is an asset

Knowledge, Skills and Abilities:

  • Maintain high sensitivity to confidential information
  • Excellent interpersonal and administrative skills with the ability to problem-solve
  • Excellent verbal and written communication skills
  • Communicate effectively with all levels of the organization
  • Proficient in PC software applications, including Microsoft Excel, Word and Outlook
