Job Description

Summary:
Act as primary point of contact when entering the facility. Primary telephone contact; receive and route all inbound phone calls in a professional and efficient manner, and projecting a high level of customer service at all times. Welcome/greet visitors in a friendly, professional manner that ensures a positive first impression.
Essential Functions:
• Respond to inbound calls received at switchboard ensuring they are routed to the appropriate
extension. Screen calls for appropriate handling as well as responding to inbound telephone inquiries
received at switchboard. Check voicemail daily.

• Maintain and troubleshoot visitor management system. Assist guests on arrival and departure including signing in, meeting their host, distributing room keys and badges, and arranging taxis when needed.
• Issue temporary security access passes. Program and deactivate access cards as required and
perform various administrative security tasks as assigned.
• Receive, sort and distribute company mail. Responsible for the preparation of all outgoing couriers as well as the receipt of all incoming documents received at reception. Forward company-wide emails and broadcasts as required.
• Create, maintain and keep updated, telephone listing, speed call listing, and commonly used fax and
speed call numbers. Maintain contact information re: Thermo Fisher affiliates. Distribute revised
telephone listing monthly
• Provide required assistance in medical, fire and other emergencies.
• Maintain a safe working environment and report potential hazards.
REQUIRED QUALIFICATIONS
Education:
High school diploma/General Educational Development (GED) Certificate is required
Experience:
Minimum 1 years of experience as a receptionist

Knowledge, Skills, and Abilities:
Capable of working with minimal supervision/self-starter. Organized and detail oriented. Proficiency in Microsoft Office products (Word, Excel, PowerPoint). Proficiency with the English Language. Excellent communication and interpersonal skills. Demonstrated dedication to our fundamental principles of Integrity, Respect & Excellence.
Standards and Expectations:
Follow all Environmental Health & Safety Policies and Procedures. Work harmoniously with fellow team
members, modelling positive team principles and partnering to meet project and departmental objectives.
Carry out all duties within strict compliance to Patheon quality systems SOP's and Good Manufacturing
Practice (GMP). Maintain workspace in a clean and orderly fashion. Actively engage in and adhere to
departmental systems to maintain a smooth and efficient workflow (visual management, scheduling
systems, etc.). Be client and patient conscious at all times. Understand Key Performance Indicators and
strive to improve the performance of the team by identifying areas for system improvements and engage in
problem solving. Models positive thinking and is open to change, motivating the team to adapt to shifts in
priorities and new ways of working. Proactively identify areas for improvement in the execution of
procedures. Communicate risks to timelines of deliverables in a proactive manner. Consistently strives to
improve skills and knowledge in related field.
Physical Requirements:
Light physical effort and fatigue. Walks, sits or stands for limited periods. May require occasional equipment operation including keyboard equipment. Lifts light items for limited duration. Typically located in a comfortable indoor area. There may be regular exposure to mild physical discomfort from factors such as dust, fumes or odours, temperature extremes, loud noise, strong drafts, or bright lights. Use of Personal Protective equipment may be required and may include any of the following: safety glasses, safety shoes, lab coat, gloves, hair net, beard cover, safety apron, respirator on occasionally.
