Job Description

Works effectively as a Functional Lead, across multiple divisions, to oversee the creation, implementation and delivery of patient recruitment and retention strategy for assigned projects/programs within cost, time, and quality requirements. This role ensures that the needs of the study and applicable patient population are supported with a recruitment strategy that encompasses monitoring interventions, site support and recruitment/retention tactics/tools. The Patient Recruitment lead oversees the implementation and performance of the client approved strategy during the study enrollment period and manages client reporting and communication, appropriately escalating any issues.

For assigned studies:

Functional Lead Collaboration (Internal and External):

  • Acts as a Functional Lead for recruitment and retention strategy and associated initiatives within the project team.
  • Closely communicates with the project team including the Project Lead, Clinical Team Manager and Clinical Research Associates.
  • Works with Clinical and Project Management team members to ensure country- and region-appropriate methods are used, and requirements met.
  • Trains project team members, as applicable, on recruitment and retention strategy and best practices.
  • Works to identify potential risks, develop contingency plans and escalate issues or potential issues as appropriate, in collaboration with the client and the Organization's project team.
  • Acts as Subject Matter Expert (SME) for patient recruitment and retention topics when providing client updates and when involved in relevant client communications.
  • Responsible for provision of tracking metrics and creating associated reports for progress of enrollment to target, inclusive of pre-screening, screening and enrollment updates.

Strategy:

  • Develops and oversees study-specific patient recruitment and retention strategy, recommending adjustments as needed.
  • Responsible for the identification of study-specific potential barriers to patient recruitment and retention, subsequently develops patient recruitment and retention study-specific strategy in collaboration with wider project team.
  • Responsible for developing and maintaining the Study Recruitment and Retention Plan per the Organization's SOPs.
  • Periodic review of Study Recruitment and Retention Plan to ensure accurate reflection of the study-specific Statement of Work (SOW).
  • Works with the client and the Organization's project team on the identification of the most appropriate strategic solution(s) for the indication/protocol/patient population.

Third Party-Vendor/Patient Centric Service Provider Collaboration:

  • Ensures any assigned patient centric service providers are accountable for patient recruitment and retention deliverables scoped.
  • Oversees quality and performance of patient centric service providers and manages/escalates any issues.
  • Ensure SOW is executed quickly and patient centric service provider invoices are accurate and timely.
  • Works closely with the Organization's Finance and Contracts to manage any financial and contractual matters for patient centric service providers.
  • Oversees communication between patient centric service providers, client and the organization's project team.

Patient Diversity:

  • Collaborates, as required, with the Patient Diversity Team to ensure that the Diversity Plan is reflected within Study Recruitment and Retention Plan.
  • Ensures any client or protocol-mandated diversity requirements for enrollment are considered during strategy design, are monitored throughout enrollment period and subsequently met.
  • As required, monitors patient diversity metrics throughout the study enrollment period and reports progress to client.

Within the Patient Enrollment Optimization team:

  • Works closely with Patient Enrollment Optimization vendor relationship leads to ensure that vendor oversight activities are not duplicated.
  • Works closely with Patient Enrollment Optimization vendor relationship leads to ensure appropriate activities are conducted as per vendor's designation on the AVL.
  • Synthesizes feedback from project teams and clients, as required, in order to critically review vendor performance and provide feedback to the Patient Enrollment Optimization vendor relationship lead.
  • Ensures that patient recruitment and retention successes and lessons learned are shared with the rest of the Patient Enrollment Optimization team, including developing study-specific examples for a cases studies library.
  • As needed, provides support for proposals and bid defenses around recruitment lead activities.

Education and Experience:

  • Bachelor's degree or equivalent and relevant formal academic / vocational qualification
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 2+ years).
  • Preference is 3-5 years experience.
  • In some cases an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

  • Experience in vendor management
  • Knowledge of the key principles of cross functional project management (cost, time, and quality)
  • Solid financial acumen
  • Applies a range of negotiation techniques to achieve desired outcomes with evidence of commercial and organizational acumen
  • Can effectively plan and deliver a dynamic and persuasive presentation, using effective technology and graphics
  • Displays effective communication skills (listening, oral, written) and can communicate in English language (oral, written)
  • Sound interpersonal skills, flexible and adapts to changing situations
  • Has the ability to persuade, convince, and influence or impress others
  • Is organized, and possesses a focus on quality with attention to detail
  • Coach/mentor team members as appropriate
  • Effectively prioritizes own workload and the ability to multi-task across competing timelines
  • Ability to effectively use automated systems and computerized applications such as Outlook, Excel, Word, Power Point, MS Teams, etc.
  • Possesses cross-cultural awareness and is able to adapt appropriately
  • Has an in-depth understanding and appreciation of clinical research/development, including medical and therapeutic areas, phases, and medical terminology
  • Has experience with leading, liaising and coordinating cross-functional project teams
  • Has an in-depth knowledge/understanding of clinical development guidelines and directives
