Job Description

The Logistics Order Desk Specialist with expertise in International business and Global Trade Compliance preferably in manufacturing industries, is responsible for managing and coordinating the order processing and logistics for domestic and international shipments, ensuring adherence to global trade regulations. This role involves meticulous attention to detail, effective communication, and collaboration with various internal departments, customers, and logistics providers to facilitate seamless operations and enhance customer satisfaction.

Processing Orders: Receive and process incoming orders from internal / external customers, both through electronic systems to ensure accurate entry of order details, including product specifications, quantities, shipping information, and delivery dates, etc.

Order Tracking: Coordinate with internal departments, and monitor order build status throughout production, to ensure timely order fulfillment and delivery.

Invoicing: Generate accurate and timely invoices for shipped /completed order release. Verify pricing, discounts, and any additional charges. Ensure invoices are sent to customers promptly and in compliance with company policies and procedures.

Global Trade Compliance:

  • Prepare and review all necessary import/export documentation, including invoices, packing lists, certificates of origin, and bills of lading.
  • Ensure compliance with international trade regulations, including customs requirements, tariffs, export controls, and sanctions.
  • Stay current with changes in global trade laws and regulations and implement necessary adjustments to processes and documentation.

Shipment Documentation: Prepare and organize shipment documents, ensuring accuracy and compliance with regulations. Coordinate freight shipments with external carriers.

Internal Collaboration / Communication:

  • Collaborate with the sales organizations around the globe, planning, production, and finance teams to ensure seamless order processing and fulfillment.
  • Coordinate with internal departments, and monitor order build status throughout production, to ensure timely order fulfillment and delivery.
  • Work closely with the warehouse and inventory management teams to ensure product availability and accurate stock levels.
  • Assist in the development and implementation of process improvements to enhance efficiency and customer service.

Problem Resolution: Proactively identify and resolve any issues or discrepancies related to orders, invoices, or shipment documentation. Collaborate with internal teams or management to resolve complex or unresolved issues.

Customer Service: Provide excellent customer service by promptly addressing customer inquiries, concerns, and complaints related to orders, invoices, or shipment documentation. Strive to meet or exceed customer expectations by providing accurate and timely information, resolving issues efficiently, and maintaining a positive and professional demeanor.

System Maintenance: Utilize and maintain order management, invoicing, and shipping documentation systems, databases, and other relevant software tools to ensure accurate and up-to-date order processing, tracking, invoicing, and shipment documentation.

Documentation and Record-Keeping: Maintain accurate records of orders, invoices, and shipment details. Generate reports to track metrics and ensure compliance with trade laws and company policies. Conduct regular audits for ongoing compliance.

Qualifications:

  • Degree in Business Administration, experience in International Business, Logistics, Supply Chain Management, or related fields.
  • Minimum of 2+ years of experience in international logistics, order processing, or a related role.
  • In-depth knowledge of global trade compliance, including import/export regulations, customs procedures, and trade documentation.
  • Proficiency in ERP and CRM systems, as well as Microsoft Office Suite (Excel, Word, PowerPoint).
  • Excellent communication and interpersonal skills, with the ability to interact effectively with customers, suppliers, and internal teams.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Problem-solving skills and the ability to handle complex logistics challenges.
  • Experienced in Global Trade Compliance, International Trade , INCOTERMS is required.
