Job Description

Participates in and supports department projects. Coordinates, supports, and performs logistics and administrative work to support the department. Supports the day to day operations of the logistics study setup.

The "Logistics Coordinator - SetUp" ensures a high level of support, service, reliability, and availability to internal departments.

Additional / Specific Job Responsibilities:

  • Reports to Team Lead Site Services or above
  • Responsible for the logistics setup of 75+ studies, ensuring flawless execution and timely completion.
  • Ensures timely preparation of import permit documents and provides them to Sponsor/CRO and/or Importer of Record to ensure smooth logistics operations.
  • Works closely with Sponsors/CRO and Site Services during the set-up phase of a study, ensuring all logistics aspects are considered.
  • Monitors and maintains the logistics set up of studies, proactively identifying communication updates and implementing changes when required.
  • Responsible for accurate preparation of proforma invoices for import permits and approvals, collaborating closely with clients/CRO to ensure seamless shipment of orders and samples.
  • Maintains crucial records such as Manufacture List, courier contact sheets, and special account set ups, ensuring data accuracy and accessibility.
  • Actively participates in internal study protocol meetings, providing valuable insights on supply and/or courier set up requirements.
  • Supports the site services logistics coordinators, fostering a collaborative and inclusive working environment.
  • Coordinates the review and action required on custom reports to ensure efficient decision-making.
  • Actively participates in the investigation and resolution of Quality Events, including delayed or missing shipments and courier events and failures.

  • Reporting to the Team Lead Site Services or above.
  • Taking charge of logistics setup for 75+ studies, ensuring timely and flawless execution.
  • Preparing import permit documents and delivering them to the relevant stakeholders.
  • Collaborating with Sponsors/CRO and Site Services during the study set-up phase to consider all logistics aspects.
  • Monitoring and maintaining the logistics setup of studies, implementing necessary changes as required.
  • Working closely with clients/CRO to prepare accurate proforma invoices for import permits and approvals, ensuring precise shipment of orders and samples.
  • Maintaining important records such as Manufacture List, courier contact sheets, and special account set ups.
  • Participating in internal study protocol meetings to provide valuable insights on supply and courier set up requirements.
