As an Executive Assistant, you'll be at the center of fast-paced activity, using your stellar office and project management skills to support the VP of Corporate Development and his team. Corporate Development guides Thermo Fisher's M&A effort which is a critical component of our capital deployment strategy.

You'll use discretion and professionalism while working with essential team members across the company and your mastery of time management, logistics planning, organization, and attention to detail will ensure flawless execution of multiple priorities focused on growing our company. Pride in being a go-to resource for the team is welcomed.

What will you do?

  • Ensure the VP and his senior leaders get where they need to be on time through detailed scheduling and execution of key meetings, juggling of key priorities, and arrangement of complex global, multi-city travel, when necessary
  • Develop an understanding of the business priorities and goals for the function; use knowledge and understanding in prioritizing meeting requests
  • Schedule and coordinate complex executive meetings, bringing together geographically dispersed teams, handling logistics, and documenting follow-up activities
  • Collaborate and build relationships to drive results in a global-matrixed organization experiencing change and transformation
  • Complete projects and special assignments by establishing objectives, setting priorities, managing time, gaining cooperation of others, monitoring progress, and problem-solving
  • Proactively and independently manage multiple concurrent projects, follow up with project owners and key stakeholders, exercise discretion and independent judgment to evaluate potential courses of action, and work creatively to find solutions to meet deadlines and ensure business goals are achieved
  • Research, compile, summarize, and analyze information to make decisions, find answers, and respond to various inquiries from internal and external customers
  • Use the full suite of Microsoft Office products to prepare high-quality correspondence, reports, and presentations
  • Attend meetings and prepare minutes as requested
  • Manage expense reporting, process vendor invoices, and support annual budget processes
  • Demonstrate both the flexibility and adaptability required to meet the dynamic nature of the business
  • Maintain confidential files and records
  • Coordinate with other Executive Assistants and Administrative Staff to cover other areas due to illness, vacation, or other special circumstances
  • Occasional travel coordination support after hours and on weekends

How will you get here?

  • Associate or Bachelor's degree
  • 10+ years of executive assistant experience in a professional office environment (large organization preferred), experience providing C-level support welcomed
  • Demonstrated experience in working independently to identify, analyze, and solve problems with creative solutions
  • Experience in independently handling multiple projects and meeting deadlines
  • Skill and experience in the art of organization and time management to juggle multiple priorities with contending deadlines
  • Strong problem-solving skills and reasoning to independently solve project challenges
  • Excellent written and verbal communication skills. Infallible proofreading and spelling
  • Solid judgment, tact, and diplomacy skills in dealing with stakeholders as well as the ability to handle highly confidential and proprietary information
  • Flexible and adaptable, and able to respond to last-minute changes while maintaining poise and a positive "can do" attitude
  • Extensive international travel management with visa administration experience
  • Expertise in all Microsoft Office suite products, including PowerPoint, Excel, Outlook, Visio
  • Experience with Concur or other expense systems
