Job Description

The Department is seeking a driven, personable individual to fill a full-time Front Desk Receptionist position to provide support to the Southeast Regional Office. The selected candidate will be able to provide clerical and reception support with excellent verbal and written communication skills. The individual will greet incoming consumers and guests while providing them with general assistance as needed. The incumbent will also handle and direct all incoming calls and mail as well as maintaining Excel spreadsheets containing the Region's operational data.

Clerk III must have exceptional customer services skills. This position will be responsible for organizing the Conference rooms for different functions and training by setting up the rooms to the needs and specification of the host, applying postage for the out-going mail and sorting the daily incoming mail. The Clerk will be responsible for providing general administrative support to the Regional Managers by filing, faxing, copying, scanning documents and other duties as assigned. Clerk III reports directly to the Office Support Specialist I.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

• Tracks and files materials such as correspondence, reports, applications, travel vouchers, etc.

• Answers phones, takes detailed messages and provides routing information concerning agency policies.

• Posts information on logs or records according to prescribed procedures.

• Operates standard office machines and equipment.

• Compiles statistical information to be included in reports of agency activities.

• Use of computer to organize/facilitate/document any information requested by Regional Operations Manager and/or Office Support Specialist.

• Composes correspondence for routine letters/meetings/etc.

• Operates specialized office equipment requiring training by manufacturer prior to use.

• Prepares/processes personnel actions such as gas card requests, gas card terminations and cell phone requests.by recording such actions and completing forms and forwarding them for approval.

• Provides assistance to other Unit Clerical Staff in preparing documentation and use of computer programs.

• Develops and prepares organization charts and other statistical material.

Required Qualifications:

• Good grammar and punctuation skills.

• Working knowledge of computer software (i.e. Microsoft Word, Excel, Access, Word)

• Ability to work well with others.

• Ability to prioritize work ensuring that all projects are processed within the required timeframe.

• Ability to work well alone.

• Good telephone skills.

• Good typing skills.

• Ability to operate various office equipment.

Preferred Qualifications

• Proficient with Microsoft Office Suite, specifically Excel/Access/Word)

• Excellent organization skills

• Excellent communication skills

Special Requirements

• Must possess a current and valid Class D Motor Vehicle Operators license.

Schedule Information

• Full-time, 37.5 hours weekly position - 1st shift (day shift)

• Days off - Saturday and Sunday

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*

* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
