Job Description

The selected intern will work with the Office of Preparedness and Emergency Management (OPEM) on a variety of projects that support emergency preparedness and response efforts, including the MA Volunteer Program (MVP) for Public Health. This role is ideal for someone with strong organizational and analytical skills who is proactive and eager to contribute to important public health initiatives.

Background: OPEM plays a key role in managing the state's preparedness and response to public health emergencies. This includes overseeing programs like the MA Volunteer Program (MVP) for Public Health, which coordinates volunteer opportunities for both healthcare and non-healthcare individuals during emergencies. OPEM also manages the MA Responds system, an online platform that helps identify and mobilize pre-registered volunteers when needed, supporting public health and healthcare operations across the state.

Duties and Responsibilities (these duties are a general summary and are not all inclusive):

  • Review and correct clinical volunteer profiles to ensure accurate emergency credential status.
  • Identify and update missing data to facilitate the automatic verification of volunteer credentials.
  • Develop training and technical assistance tools, such as quick reference guides and virtual trainings.
  • Analyze data from previous state deployments, messaging response rates, and demographics.
  • Capture key data points and develop tools, such as graphs, to effectively visualize and report insights.
  • Collect and analyze data from various projects, including the MVP, to support planning and decision-making.
  • Identify opportunities to improve the integration and organization within the MA Responds database.
  • Assist in developing standardized policies and processes for volunteer oversight, credentialing, communication, and deployments.
  • Assist with reconciling the office's Personnel Activities Reports.
  • Develop and maintain organized systems for managing draft messages, templates, and other operational documents.
  • Create and distribute newsletters, reports, and other communications to keep volunteers and stakeholders informed and engaged.
  • Develop, implement, and analyze satisfaction surveys to gather feedback and identify areas for improvement.
  • Help coordinate and manage various projects related to emergency preparedness, response workforce support, and volunteer management.
  • Provide support for the Ready Responder Program and the MVP, including data organization, communication efforts, and general administrative tasks.
  • Help with tasks related to the Ready Responder Program, including assisting with data organization, communications, and other activities as needed to support the program's goals."
  • Ability to periodically travel between our Boston and Marlborough Office.

Required Qualifications:

• This internship opportunity is for undergraduate or graduate students who must be currently enrolled in an undergraduate program at an accredited College or University.

Preferred Qualifications:

  • Strategic thinking, planning, organizing and prioritizing resources.
  • Outstanding interpersonal skills with the ability to communicate effectively and professionally.
  • Experience in emergency preparedness and quality improvement.
  • Understanding of and commitment to health equity, including racial equity, and addressing the social determinants of health.
  • Experience and the desire to work in a team-oriented, fast paced, professional public health environment.

Contract Period of Service:

10/01/24 to 3/31/25 (Renewable subject to appropriation).

Additional Contract Information:

  • Benefits are unavailable with the exception of sick leave accruals.
  • Contracts are renewable, subject to the Department approval, performance, and allocation of funds.
  • All employees will be paid on a biweekly basis and must have direct deposit.
