I. GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:
To provide complex clerical and administrative support in assisting a department head or supervisor to discharge the duties of the office. Responsible for a variety of projects and activities requiring comprehensive knowledge of department's operations and familiarity with relevant laws, and the procedures, rules and regulations of the Sheriff's Office; all other related work as required. To maintain working knowledge of multiple office platforms such as Microsoft Office, OMS, Keefe, Sharepoint, PowerDMS and QuickBooks.

II. ESSENTIAL FUNCTIONS:[2]
• Assists department head with special projects and numerous administrative tasks; prepares and types a variety of reports, forms, records, memorandum, correspondence and other materials as required.
• May be directed to work on special assignments independently.
- Operates computer, calculator, telephone, and other standard office equipment. Become familiar with the Lobby Kiosks to assist the general public put money on inmate accounts as needed.
- Makes frequent contact with local, county, state and federal officials and agencies, Sheriff's Office and other Jail and House of Correction employees, social workers and the general public, requiring patience, tact and discretion; will have regular contact with former inmates.
- Post inmate bails, post checks/money orders to inmate accounts, issue & void checks, balance the small cash box, balance the Receiving drawer in Keefe, and pay Commissary Account invoices. Retrieve inmate account information in Keefe or OMS to post bails or to assist with family inquiries.
- Frequently accesses the Commissary and Inmate Accounts online banking system for bank inquiries, Positive Pay and check voiding.
- Retrieve daily money from the Intake Kiosks in the Receiving Department.
- Retrieve daily Finance mail from the Mail Room.
- Provide Administrative support to office staff by filing or organizing physical or electronic documents for the department.
- Has access to department oriented confidential information
- Enters and transcribes records into departmental spreadsheets and QuickBooks.

Qualifications
I. MINIMUM QUALIFICATIONS :
A. Education and Experience :High school graduation, associate degree desirable; minimum of five (5) years of experience in banking, financial services, customer service, administrative work; or any equivalent combination of education and experience.
B. Special Requirements :Ability to become certified in cardiopulmonary resuscitation (CPR). Willingness to complete special certification programs related to specific work functions. Willingness to work in a correctional facility.
C. Knowledge, Ability and Skill :
Knowledge: Thorough knowledge of office practices, procedures, machines and multiple office platforms. Familiarity with correctional facility operations. Thorough knowledge of Massachusetts General Laws as they pertain to departmental functions and operations. Extensive knowledge of departmental operations, procedures and policies. Thorough knowledge of the Sheriff's department Procurement Policy.
Ability: Ability to maintain accurate records. Ability to deal tactfully and appropriately with the general public, former inmates, and correctional facility departments and to assist others in an effective manner. Ability to independently make decisions and solve problems. Ability to operate a computer.
Skill: Skill in typing and familiarity with computer assisted techniques and applications.
D. Physical Qualifications : Minimal physical effort demanded when performing functions. Ability to operate a keyboard and calculator at efficient speed, and to sit at a computer for long periods. May be required to stand for long periods of time. Specific vision requirements include close vision and the ability to adjust focus. May be required to lift, move, and/or push storage boxes, furniture and equipment which may weigh 30 pounds or more.
II. JOB ENVIRONMENT : Work is performed under typical office and correctional facility conditions; work environment is moderately quiet.
III. SUPERVISION RECEIVED : Works under the general direction of the department head or other supervisory personnel; following department rules, regulations and policies.
